Our clients benefit from AIVista’s deep AI product expertise combined with the industry domain knowledge and systems integration experience of NTT DATA.\nRole Description\nWe are seeking a highly organized, execution-oriented Program Manager to support and scale critical internal operations across HR, Finance, and other corporate functions while helping drive the adoption of agentified workflows across the organization.\nThis role will work closely with executive and functional leaders to coordinate high-priority programs, strengthen operational processes, and ensure cross-functional initiatives move from planning through execution. The ideal candidate is comfortable operating in a fast-paced environment, managing sensitive information, creating structure where needed, and identifying opportunities to improve how work gets done through automation and AI.\nCore Responsibilities\n1. HR & People Operations\nPartner with the CAO and HR function to coordinate day-to-day people programs and operational initiatives, including:\nManage employee lifecycle workflows, including onboarding, offboarding, employee changes, and HR records.\n\nSupport recruiting operations, hiring approvals, offer processes, background checks, and headcount tracking.\n\nSupport the development and ongoing management of internal knowledge resources and the company intranet.\n\nCoordinate compliance requirements, mandatory employee training, documentation, and operational tracking.\n\nSupport internal audit and compliance-readiness initiatives across HR and other corporate functions.\n\nIdentify opportunities to improve employee and manager experiences through stronger processes, systems, automation, and programs.\n\n2. Finance Operations\nPartner with the CFO and Finance function to coordinate and support key financial and business operations, including:\nSupport budgeting, forecasting, financial reporting, and preparation of leadership and Board-level finance updates.\n\nMaintain finance controls, approval records, audit documentation, insurance and tax deadlines, and key operating trackers.\n\nCoordinate cross-functional finance initiatives and ensure owners, dependencies, deadlines, and deliverables remain on track.\n\n3. Agentified Internal Operations\nHelp identify, design, implement, and continuously improve AI-enabled workflows across Finance, HR, Legal, Marketing, and other internal functions to drive operational excellence.\nIdentify operational workflows that can be streamlined, automated, or improved through AI agents and other AI-enabled tools.\n\nPartner with functional owners to understand and document workflows, decision points, permissions, dependencies, and success criteria.\n\nTranslate business processes into clear agent instructions, workflows, checklists, escalation paths, and user guidance.\n\nCoordinate implementation and adoption of AI-enabled workflows across internal teams.\n\nMonitor outputs for accuracy, completeness, privacy, and business appropriateness.\n\nEstablish feedback loops and operational metrics to evaluate effectiveness and identify opportunities for improvement.\n\nTrain and support internal users as new AI-enabled capabilities and workflows are introduced.\n\nQualifications\n5+ years of experience in program management, business operations, finance operations, HR operations, Chief of Staff, or a related role.\n\nDemonstrated ability to independently drive cross-functional programs from planning through execution.\n\nStrong project and program management skills, with the ability to manage multiple priorities, stakeholders, dependencies, and deadlines.\n\nWorking knowledge of finance operations, HR operations, employee lifecycle processes, and internal business controls.\n\nStrong operational judgment and the ability to create structure in evolving or ambiguous environments.\n\nExceptional attention to detail and discretion when handling confidential company, financial, compensation, and employee information.\n\nExperience improving business processes through automation, systems implementation, or AI-enabled workflows.\n\nAbility to work effectively with executives, functional leaders, and cross-functional teams.\n\nStrong written and verbal communication skills.\n\nPreferred Qualifications\nExperience in a startup, high-growth technology company, or global organization.\n\nExperience supporting CFO, CAO, COO, or Chief of Staff functions.\n\nExperience working across multiple corporate functions rather than within a single operational discipline.\n\nExperience implementing AI agents, workflow automation, internal knowledge systems, or operational dashboards.\n\nFamiliarity with modern AI tools and an interest in applying AI to improve internal business operations.\n\nBenefits\nMedical, dental, and vision insurance\n\n401(k) plan\n\nSignificant Company HSA contribution\n\nPaid holidays and flexible PTO\n\nThe estimated annual base salary range for this role is $120,000-$170,000 USD. The salary for the successful applicant will depend on job-related factors such as education, training, work experience, business needs, and market demands.
