This role requires excellent organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.\n\nKey Responsibilities\n\nProcurement & Vendor Management\n\nSource materials from approved suppliers.\n\nRequest and compare supplier quotations.\n\nNegotiate pricing and delivery schedules whenever possible.\n\nPlace purchase orders accurately and on time.\n\nConfirm all orders with suppliers.\n\nMonitor production status and shipping schedules.\n\nFollow up on delayed orders and resolve supplier issues.\n\nMaintain strong relationships with vendors and manufacturers.\n\nTrack warranties, lead times, and supplier performance.\n\nOrder Management\n\nReview project requirements before ordering.\n\nVerify measurements, specifications, and quantities.\n\nCoordinate custom glass, hardware, windows, doors, and specialty material orders.\n\nEnsure all purchase orders match project specifications.\n\nCommunicate any discrepancies immediately.\n\nEstimating Support\n\nObtain supplier pricing for quotes.\n\nAssist estimators with material costs.\n\nMaintain current supplier price lists.\n\nHelp identify cost-saving alternatives.\n\nTrack material cost changes.\n\nScheduling & Operations\n\nCoordinate material deliveries with project schedules.\n\nSchedule installations based on material availability.\n\nCoordinate with technicians, project managers, and office staff.\n\nEnsure jobs are ready before technician dispatch.\n\nUpdate project timelines when deliveries change.\n\nCRM Management\n\nMaintain procurement records in the CRM.\n\nUpdate purchase order statuses.\n\nUpload supplier invoices and confirmations.\n\nRecord delivery dates and tracking information.\n\nKeep project notes accurate and organized.\n\nGenerate procurement reports when requested.\n\nInventory & Cost Control\n\nMonitor inventory levels.\n\nRecommend stock replenishment.\n\nMinimize waste and duplicate purchases.\n\nAssist with inventory audits.\n\nTrack backordered materials.\n\nAdministrative Duties\n\nMaintain supplier database.\n\nOrganize purchase documentation.\n\nAssist Accounting with supplier invoices.\n\nEnsure purchase records are complete.\n\nSupport Operations with procurement-related tasks.\n\nQualifications\n\nRequired\n\n2+ years of purchasing, procurement, operations, or project coordination experience.\n\nExcellent organizational skills.\n\nStrong attention to detail.\n\nExcellent written and verbal English communication.\n\nAbility to prioritize multiple projects simultaneously.\n\nProficiency with CRM systems, Google Workspace, and Microsoft Office.\n\nStrong Excel/Google Sheets skills.\n\nComfortable communicating with suppliers by phone and email.\n\nPreferred\n\nExperience in the construction, glass, window, or building materials industry.\n\nKnowledge of purchase orders and vendor management.\n\nExperience reading estimates or construction drawings.\n\nFamiliarity with ERP or procurement
