OIA Global is privately held by LDI, Ltd.\nSummary: Operations Coordinator\nThe operations Coordinator is responsible for managing end-to-end ocean freight operations, customs clearance coordination, domestic transportation activities, customer service, billing, and operational compliance. The role plays a critical part in ensuring timely shipment execution, maintaining customer satisfaction, supporting revenue generation, and ensuring adherence to customs and regulatory requirements for key strategic accounts.\nJob title: Operations Coordinator\nLocation: Chennai\nDepartment: Ocean Operations\nReports to:Assistant Manager - Operations\nDuties and Responsibilities:\nOperations Management\nCoordinate and manage ocean export freight shipments from booking to final delivery.\nHandle domestic transportation movements and ensure timely execution.\nMonitor shipment milestones and proactively address any operational issues.\nCoordinate with shipping lines, co-loaders, transporters, customs brokers, and internal stakeholders to ensure smooth shipment movement.\nCustoms Clearance & Compliance\nCoordinate customs clearance activities through appointed Customs House Agents (CHAs).\nPrepare BL drafts and get approvals from appropriate team, local and overseas\nEnsure to on time release of pre-alert documents and milestones update in CW1\nEnsure timely and accurate submission of AMS, ACI, AFR, and other regulatory filings.\nMaintain compliance with customs regulations, trade requirements, and company policies.\nSupport documentation and regulatory requirements for import and export shipments.\nCustomer Service & Stakeholder Management\nAct as the primary operational contact for assigned customers.\nManage customer communication regarding shipment status, documentation requirements, and service updates.\nMaintain strong relationships with key customers and business partners.\nResolve operational issues and customer escalations in a timely manner.\nPricing & Quotation Support\nPrepare and provide accurate customer quotations for ocean freight, customs clearance, and transportation services.\nLiaise with vendors and service providers to obtain competitive rates.\nSupport tender and pricing activities as required.\nBilling & Financial Responsibilities\nGenerate accurate and timely invoices for shipments and customs clearance activities.\nEnsure all billing and revenue recognition activities are completed within established timelines.\nCoordinate with finance teams on billing discrepancies and customer queries.\nSupport branch profitability through effective cost management and operational efficiency.\nOperational Reporting\nMaintain shipment records and operational documentation.\nProvide shipment updates and operational reports to management.\nMonitor service performance against customer requirements and KPIs.\nRequired Skills and Abilities:\nTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.\nGraduate / bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field is preferred.\nMinimum of 3 years’ experience specifically in ocean freight operations.\nDemonstrated experience in ocean freight management and freight forwarding operations.\nComprehensive knowledge of maritime logistics, international trade regulations, and customs clearance procedures.\nStrong organizational skills, capable of effectively managing multiple, concurrent ocean shipping tasks.\nProven analytical and problem-solving skills to address operational challenges promptly and effectively.\nExcellent interpersonal and communication abilities to manage relationships with external partners and internal stakeholders.\nProficiency with logistics management software, shipping platforms, and Microsoft Office Suite.\nAbility to perform effectively both independently and as part of a collaborative team.\nDetail-oriented approach to ensure accuracy, compliance, and high-quality operational outcomes.\nPhysical Requirements:\nProlonged periods of sitting at a desk and working on a computer. \nThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
