The Senior Project Manager Supervisor keeps all team members informed of the status of their respective jobs and ensures all jobs are following the agency’s Job Flow Process (JFP). He/she handles aspects of preparing for regulatory submissions. He/she supports the Director of Project Management with new business projects, department initiatives and helps train, monitor, evaluate and supervise the workload of the department.\nPrimary Job Responsibilities\nCoordinate job flow/creative process within the Agency in an organized and efficient manner, which includes:\nOpen job number and job site on blink when requested from account service\n\nPrepare andmaintainjob site on SharePoint to reflectaccuratejob history\n\nSetup and attend all start-up and internal review meetings\n\nDevelop timelines with input from relevant departments\n\nUpdate timelines based on client and/or internal changes (keepingaccuratetimelines throughout the life of a job is extremely important)\n\nRemind the team of upcoming due dates and alert the other team members if agreed upon due dates are not going to be met, both internally and externally\n\nEnsuretimelydevelopment ofcolorbreaks and spec sheets by coordinating with Production and Art Directorprior to pre-mechanical meetings\n\nSchedule and attend pre-mechanical meetings for every print job. Ensure all relevant materials are brought to the meeting and be able to provide timing from mechanical to release\n\nRoute jobs through all relevant departments viaeRoutingsystem and secure signatures at all stages of the job. Ensure cover sheets are complete andcontainall relevant information for each job\n\nSchedule and attend digital build-kit handoff meetings with the internal development team (Account Services will setup when working with third-party digital vendors). Work closely with UX, AD, and Account Services to ensure all relevant materials (manuscript, functional specs, sitemap, wireframes, etc.) are prepared andQC'dinternally prior to build kit hand-off meeting\n\nMonitor andassistteam members in following the JFP (keep documentation of any skipped steps/signatures)\n\nIf procedures are not followed, alert the Director of Project Management\n\nIn person client travel isrequired\n\nManage the activities of junior project management team members including, but not limited to the following tasks:\nReview dailies,nightlies, and timelines of junior project management team members for accuracy\n\nReview and approve direct reports timesheets\n\nDemonstrate proficient use of Dynamics for timesheets and financials\n\nReview estimate vs. actuals report\n\nSubmitaccuratetimesheetson a daily basis\n\nDemonstrate knowledge of and ability to plan a complete product launch\n\nDemonstrate proficient use of SharePoint\n\nPrepare andsubmitjobs for regulatory review\n\nDevelop and distribute the daily and nightly internal status reports (daily by 9:30 am and nightly by 4pm)\n\nCoordinate and run weekly status meetings\n\nAttend client status meeting/select client calls whenappropriate toproactively track and address key project deliverables\n\nWork closely with Account Services to ensure daily clienthotsheetsand weekly client status reports areaccurate, alerting Account Services to necessary updates\n\nMonitor jobs and alert team topossible delays/issues, assure open communication among team members\n\nMaintain organized email archives\n\nDevelop knowledge of Client's process/procedures and the people involved--and interact appropriately\n\nAssistpeers when workload permits\n\nUphold the Company Values in all decisions and interactions\n\nPerform other job-related tasks as assigned by the Director of Project Management\n\nManagement Responsibilities\nDiscuss any issues/concerns or decisionsregardingthe Project Management Department with the Director of Project Management and work closely with him/her to resolve any issues that need to be addressed\n\nHelpmonitorquality control standards of Project Coordinators and Sr. Project Coordinators to assure that all work meets the highest possible standards of accuracy\n\nMake recommendations to Director of Project Management for any workload adjustments\n\nHelp organize,monitorand supervise the workload of individual Project Coordinators and Sr. Project Coordinators\n\nAssist Project Coordinators with their daily/nightly reports, either by looking over it with them or contacting team members toascertainthe expectations\n\nHelp Director of Project Management evaluate performance of department team members\n\nHelp Director of Project Management manage and resolve staff issues including performance, personalpresentationand internal interactions\n\nRecommend adjustments/additions to the roles and procedures of the Project Management Department to achieve continuous improvement and efficiency across all accounts and/or the agency\n\nSupport Director of Project Management with launch and convention planning\n\nSupport Director of Project Management with new business initiatives\n\nAdditional Responsibilities\nMonitor and assure continual adherence to basic practices,proceduresand reporting for consistency across all accounts in the department\n\nResponsible for reviewing alldigitaltimelines across all coordinators so that job deadlines are met (in conjunction with the Director of Project Management)\n\nResponsible for the department needs when the Director of Project Management is not in the office\n\nHelp interview, train, and orient new department team members to the agency,departmentsand accounts\n\nCommunicate effectively and professionally\n\nDemonstrate ability to set priorities while handling multiple projects\n\nRemain calm despite high pressure situations\n\nProject a professional, positive attitude toward peers and clients\n\nFoster a positive team atmosphere andestablishcredibility\n\nEnsure that all materials produced areaccurateby assuring that the quality control steps are not skipped in the Job Flow Process\n\nHelp develop ideas to make the project managementdepartmentand the agency run more efficiently\n\nQualifications\nCollege degree preferred\n\nMinimum of 4 years project coordination advertising experience\n\nMinimum of 2 years supervisory experience\n\nExcellent written and oral communication skills\n\nDetail oriented\n\nAbility to handle multiple projects and deadlines\n\nPositive/helpful attitude\n\nBiolumina’sValues\nOpen Mind\nAlways ask why-of your teammates, your clients, and yourself.
