The transportation department depends on the Coordinator for accurate & timely communication to ensure that participants, meals, and medical supplies are delivered safely and timely to and from the Center(s).This key role ensures that Drivers have the information and tools to deliver this program-critical service.\n\nROLES AND RESPONSIBILITIES\nSAFETY MONITORING, TRAINING & REPORTING\n\nEnforce safety rules and regulations by monitoring and reporting issues, concerns, and violations by drivers.\nEnsure use of all requested software, ensuring accurate and timely input\nEnsure that all guidelines as described in the Transportation section of the On Lok policy manual and the transportation department operations manual are properly followed.\nEnsure that all tasks comply with administrative policies and procedures, safety rules, vendor contracts, environmental policies and/or government regulations.\nAll other reasonably related jobs as assigned.\n\nPROGRAM/CENTER MANAGEMENT\n\nEnsure timely communication to center staff & participants or families regarding vehicle delays.\nEnsure accurate and thorough communication about participants to the appropriate Transportation team member.\nConfer with center staff, participants or families to resolve problems.\nProvide ongoing support to Department Management and take on additional tasks as assigned.\nAssist Transportation Department with investigating and resolving customer concerns.\nPerform various data entry or word processing docs as requested\nPrepare & document daily dispatch concerns in end of shift report.\n\nCOMPLIANCE\n\nAnswer incoming calls, greeting, providing information, transferring calls or taking messages as needed.\nPlace telephone calls as needed or requested.\nKeep record of all calls placed and received and changes incurred.\nComplete daily morning direct line & driver call out procedures, making schedule adjustments as needed.\nRespond to all same day transportation requests with necessary information within the allotted time period\nDispatch drivers and vehicles to appropriate locations based on center requests to coordinate service and schedules.\nCommunicate specific instructions clearly to drivers in the field regarding passenger pick-ups and drop-offs.\nMonitor vehicle performance throughout assigned routes; Advising personnel about traffic flow concerns, construction areas, accidents, weather conditions and other hazards by sending out alerts as needed.\nEnsure all assigned drivers take mandatory meal & rest breaks within the allotted time period.\nArrange for any necessary same day vehicle repairs & driver trainings in coordination with Fleet & Safety.\nAssist Transportation Coordinator II with compiling all transportation requests for next business day when requested.\nMay drive vehicles to complete work assignments or to assist workers.\nRespond to and coordinate emergency response, as needed.\n\nDevelops a daily schedule for each driver for all transportation needs of participants, meal deliveries, staff, deliveries of supplies, and pickups.\nAssigns Senior Drivers, Drivers and On Call Drivers to the vehicles and routes. Problem solves with staff to ensure timely pick up and drop off.\nCoordinates transportation services to requesters as needed.\nServes as liaison to IDT for receiving information about prt, status and communicates with transportation staff.\nIdentifies training needs of staff and assists in coordination of training calendar.\nInvestigates all reported incidents and accidents involving the transportation department.\nAll other reasonably related jobs as assigned.\n\nREQUIRED QUALIFICATIONS\n\nWork Experience\nExperience\nExperience Details\nprofessional experience working in one or more of the following capacities: dispatch, call center, customer service or hospitality.\nsupervisory experience\noverseeing a maintenance program for vehicles\n\nKnowledge, Skills and Abilities\nKSAs\nAbility to operate all vehicles of On Lok; understand and maintain a basic understanding of vehicle operation and maintenance.\nFlexibility and creativity; gets along well with frail elderly people, and demonstrates mature judgment.\nFriendly, patient, professional, personable and have a courteous demeanor at all times\nExtremely detail-oriented, with exceptional multi-tasking skills.\nProven computer skills including experience with Microsoft Office suite.\nAbility to listen effectively and understand clients’ needs in order to provide creative solutions.\n\nLicenses and Certifications\nEnter Licenses/Certifications\nLicenses/Certification Details\nTime Frame\nNon ClinicalDL NUMBER - Driver License, Valid and in State\nwith clean driving record (no more than 1 point);
