Job Description ManagementJOB PURPOSE\nThe Transportation Supervisor ensures that the transportation team is responsive to transportation requests and driver schedules are planned and implemented to ensure that participants, meals, and medical supplies are delivered safely and timely to and from the Center(s).This key role ensures that Drivers and Transportation Coordinators have the information and tools to deliver this program-critical service.\n\nROLES AND RESPONSIBILITIES\nPROGRAM/CENTER MANAGEMENT\n\nMaintain manual files and computerized record management systems to store and process trip statistical data and information, and to produce reports.\nOversight of the creation of work schedules and assignments for staff, according to workload, space, and equipment availability.\nDirect work activities of dispatching & scheduling and ensure that all transportation requests are met.\nMaintain a high level of operational awareness of current and potential resources needed to ensure the success of the department.\nMaintain communication between center departments, medical staff and department heads by attending all required meetings and coordinating interdepartmental functions.\nParticipate in all required center meetings including, but not limited to IDT, family meetings, staff meetings, in-service training programs, and quality improvement meetings\nEstablish a positive rapport with participants, participant family members, and other members of our network providers.\nAddress and resolve all participant grievances within the requested timeline\nManage staff, prepare work schedules and assign specific duties.\nEnsure all transportation staff members are updated on all department and organizational policies and procedures.\nInteract closely with the center staff resolving concerns as they arise.\nMay perform all of the duties of a Transportation Coordinator I & II.\nAssist with providing onboarding and ongoing training for Transportation Coordinator I & II using manuals and formal training materials as a guide.\nActive participation in departmental & safety meetings.\nOther reasonably related duties as assigned.\n\nSAFETY MONITORING, TRAINING & REPORTING\n\nEnsure all organizational policies and departmental procedures are followed.\nPrepare reports to inform management of the status and implementation plans of programs, services, and quality initiatives.\nEstablish work schedules and assignments for staff, according to workload, space, and equipment availability.\nEstablish objectives and evaluative or operational criteria for units managed.\nReview and analyze activities and data to aid planning and to improve service utilization.\nResolve problems concerning transportation, logistics systems, imports or exports, or customer issues.\n\nDevelops, assigns and ensures the coordination and implementation of daily schedules for all drivers including, but not limited to, vehicle assignments, meal and supply deliveries, and participant pick-ups and routes.\nProvides oversight and ensures that the transportation department is in compliance with the department’s operations manual, van maintenance schedules, On Lok policies and procedures, and State and PACE regulations.\nEnsures delivery of quality services to internal and external customers through adherence to policies and procedures which includes maintaining participant safety standards.Serves as liaison between IDT and the transportation staff for communicating information about participant statuses.\nFunctions as a primary driver when needed to ensure adequate and availability of transportation services, including vacation/leave coverage, periods of staffing shortages and/or low census. Required to manage increase in work demands with census growth and program operational changes.\nEnsures that all staff are appropriately trained per required PACE and ADHC guidelines.Identifies and coordinates training needs of new and existing staff.\nIn partnership with the Transportation Manager and the regional Program Managers, the Transportation Supervisor performs supervisory duties including employee relations and performance management.\nWorks with the regional Program Managers on staffing and budgetary issues.\nAll other reasonably related duties as assigned.\n\nREQUIRED QUALIFICATIONS\n\nWork Experience\nExperience\nExperience Details\nprofessional experience working in one or more of the following capacities: dispatch, call center, customer service, or hospitality\nsupervisory experience\nexperience overseeing a maintenance program for vehicles\n\nKnowledge, Skills and Abilities\nKSAs\nAbility to operate all vehicles of On Lok;
