About the team
You'll work closely with the People, Operations and Finance teams, and partner with department heads across the business, including GTM (Sales, Account Management and Marketing), Creative, Buying & Merchandising, Logistics, and Engineering.
About the role
We're hiring a Recruitment Coordinator to run the engine behind our hiring. You'll own scheduling, candidate communication, and the day-to-day logistics that make every interview feel organized and personal, so candidates experience the same care our gift recipients do.
You'll partner closely with hiring managers and our People team across time zones, and help us build scalable recruiting processes as the company grows.
You'll also be an ambassador for &Open. For many new hires you'll be the first person they meet here, and the experience you give candidates shapes how they see us before they join. Getting that right is one of the most important parts of this role.
What you'll do?
- Schedule phone screens, interview loops, and debriefs across Irish, US and European time zones and calendars
- Conduct initial candidate screens for Hiring Managers, so that they have a qualified pipeline of candidates to work from
- Schedule and run internal new role Intake meetings to ensure the hiring managers and other team members are aligned on the role, what types of candidate they are seeking
- Be the main point of contact for candidates, keeping them informed and supported from first call to offer
- Maintain accurate, up-to-date candidate records and pipeline data in our applicant tracking system
- Prepare interview kits, scorecards, and briefing notes for hiring teams
- Help draft and post job descriptions and manage job board listings
- Coordinate offer letters, background checks, and handoffs to onboarding
- Track recruiting metrics such as time-to-hire and pipeline conversion, and flag bottlenecks
- Support employer brand efforts, including careers page content, events, and candidate experience feedback
- Spot gaps in our process and help build templates and workflows that scale
What you'll need
- 1-3 years in recruiting coordination, HR, or a similar high-volume operations role
- Exceptional organization and attention to detail; you juggle many moving parts without dropping one
- Clear, warm written and verbal communication
- Comfort with an applicant tracking system (e.g., Greenhouse, Lever, Ashby) and Google Workspace
- Discretion with confidential information
- A proactive, low-ego approach and comfort in a fast-moving startup
Nice to have
- Experience recruiting across multiple countries or for a distributed team
- Exposure to sourcing or employer branding
- Familiarity with B2B SaaS or e-commerce
