Reporting to the Accounts Payable Manager, you will be responsible for AP entry and review, expense coding, and travel & entertainment (T&E) review and approval, ensuring accuracy, compliance, and timely processing across all payables activity. You will bring strong ERP knowledge and technical savviness, along with a keen eye for detail, to support the broader finance function and the AP Manager in maintaining a well-controlled, efficient payables process.\nAccounts Payable Entry & Review\nReview and process high-volume accounts payable invoices for accuracy, completeness, and appropriate approval prior to entry.\nEnsure accurate general ledger and expense coding of invoices in accordance with the chart of accounts and departmental budgets.\nPerform detailed review of AP entries to identify and resolve coding errors, duplicate payments, and discrepancies prior to payment run.\nMonitor the AP aging and ensure invoices are processed and paid in accordance with vendor terms and payment schedules.\nMaintain organized, audit-ready documentation for all processed invoices and supporting backup.\nTravel & Entertainment (T&E) Review\nReview and approve employee expense reports for policy compliance, accurate coding, and appropriate supporting documentation.\nIdentify and escalate out-of-policy expenses, missing receipts, or unusual spending patterns to the AP Manager as needed.\nPartner with employees and department leads to resolve expense report queries and ensure timely reimbursement.\nMaintain and communicate T&E policy guidelines to ensure consistent application across the organization.\nReconciliation & Controls\nPerform vendor statement and AP sub-ledger reconciliations, researching and resolving variances in a timely manner.\nSupport month-end close activities, including AP accruals, account reconciliations, and reporting deliverables.\nMaintain strong internal controls over the payables process, ensuring appropriate segregation of duties and approval workflows.\nAssist with internal and external audit requests related to accounts payable and T&E.\nSystems & Process Improvement\nLeverage ERP system functionality to streamline invoice processing, coding, and approval workflows.\nIdentify opportunities to improve AP processes and controls, recommending and helping implement enhancements.\nMaintain and update standard operating procedures (SOPs) for AP entry, T&E review, and reconciliation processes.\nSupport system upgrades, testing, and integrations affecting the accounts payable function.\nTeam & Cross-Functional Support\nProvide day-to-day guidance and review of work for AP team members, supporting quality and consistency of output.\nAct as an escalation point for complex vendor or coding issues within the team.\nCoordinate with other finance functions (AR, Accounting, Payroll) and business stakeholders to resolve payables-related issues efficiently.\nRequired Experience & Qualifications\nThe ideal candidate will be an experienced accounts payable professional with a demonstrated track record of AP entry and review, expense coding, and T&E processing, strong technical and ERP skills, and a high level of attention to detail.\nMinimum 4 years of accounts payable experience, including expense coding, invoice entry, and review.\nProven experience reviewing and approving travel & entertainment (T&E) expense reports.\nHands-on experience with an ERP system (Sage Intacct or a comparable cloud-based accounting platform strongly preferred).\nDemonstrated experience performing account and vendor reconciliations.\nStrong understanding of AP controls, approval workflows, and expense policy compliance.\nExperience supporting month-end close activities, including accruals and reconciliations.\nPrior experience providing guidance or informal oversight to other AP team members is a plus.\nundefined\nKey Skills & Competencies\nExceptional attention to detail and accuracy in high-volume, deadline-driven work.\nStrong technical savviness with the ability to learn and effectively utilize ERP and finance systems.\nSolid understanding of expense coding, chart of accounts structure, and general ledger impact.\nProficiency with Microsoft Office Suite, particularly Excel (pivot tables, VLOOKUPs, data analysis).\nStrong organizational and time management skills; able to manage competing priorities and deadlines.\nClear and professional written and verbal communication skills.\nProactive problem-solver, comfortable identifying discrepancies and driving them to resolution.\nCollaborative and adaptable; able to work effectively with cross-functional teams and stakeholders.\nDiscretion and integrity in handling confidential financial information.\nThe Compensation range for this role is CAD 75,000 to 85,000 per year and may be eligible for an annual bonus.
