Job Description:

This recruitment will be used to fill two part-time (a maximum of 24 hours per week) Student Office Assistant for the Department of Educational Pathways at Oregon State University (OSU).

The Department of Educational Pathways encompasses a broad portfolio of student access and success initiatives, including Precollege Programs, Educational Opportunities Program, TRIO Student Support Services, TRIO Upward Bound, the College Assistance Migrant Program, the High School Equivalency Program, and Reaching Our Opportunities through STEM.

Position Summary

  • This recruitment will be used to fill two part-time (a maximum of 24 hours per week) Student Employment positions within the Department of Educational Pathways for the 2026-2027 academic year.

  • Student employees will gain practical, transferable skills through experiential work supporting departmental operations, student engagement, communications, outreach, event coordination, and special projects. The position provides opportunities to develop and apply career readiness competencies including professional communication, critical thinking, teamwork, leadership, professionalism, technology, and career self-development.

  • This position reports directly to the Director of Strategic Operations.

Position Duties:

  • This position will work at a computer workstation, both standing and sitting, primarily in Waldo Hall with occasional errands around campus. This position does not include remote work.

  • Scheduling will be within the hours of 8 am to 5 pm and is flexible around course schedule.

  • Minimum of two days and 10 hours per week (maximum of 24 per regulations, but not likely to reach maximum hours).

  • This position may be asked to lift boxes or equipment of approximately 40lbs.

Administrative & Office Support:

  • Apply professional communication and customer-service skills when welcoming visitors, responding to phone calls and departmental email, routing inquiries, and connecting students, families, faculty, staff, and community partners with appropriate resources and information.

  • Develop independence and professional judgment by assuming responsibility for opening, closing, and maintaining front-office operations after completing required training, while recognizing when to seek guidance or escalate an issue.

  • Develop project-management and leadership skills by supporting the planning, coordination, implementation, and follow-up of departmental events, meetings, outreach activities, and special projects.

  • Develop organizational and time-management skills by coordinating meetings, managing scheduling requests, and balancing calendar-related responsibilities with competing priorities and established deadlines.

  • Develop professional writing and documentation skills by preparing and refining correspondence, reports, meeting materials, and other departmental documents for accuracy, clarity, organization, and appropriate audience and tone.

  • Apply organizational skills, attention to detail, and ethical judgment when maintaining departmental records and information. Protect confidential information and follow university policies and established procedures for handling and organizing records.

  • Develop resource-management and operational planning skills by monitoring office needs, maintaining inventory, coordinating supply requests, and contributing to an organized and effective workplace environment.

  • Develop and apply digital communication and design skills by creating flyers, presentations, newsletters, social/digital content, and other materials that support departmental outreach and student engagement.

  • Apply attention to detail and organizational skills when preparing documents, maintaining records, managing information, and completing administrative processes using Microsoft Office Suite, Google, Canva, and other university software.

  • Demonstrate ethical and professional handling of university information, including maintaining confidentiality and following applicable university policies and procedures.

  • Take ownership of assigned components of departmental projects and initiatives, applying communication, organization, problem-solving, technology, and project-management skills to plan, complete, and evaluate assigned work. Incorporate feedback and identify opportunities to improve processes and outcomes.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

    • High School student: Regularly enrolled in a high school or participating in a home-schooling program

    • Undergraduate and post-baccalaureate student: 6 credit hours per term

    • Undergraduate international student: 12 credit hours per term*

    • Graduate student officially admitted to Graduate School: 5 credit hours per term

    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by theOffice of International Services (OIS), and must be provided to the Student Employment Center.

Required Qualifications

  • Eligible for Federal Work Study.

  • Excellent customer service skills including strong communication skills.

  • Attention to detail and organizational skills.

  • Ability to work independently and collaboratively as part of a team.

  • Experience with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).

  • Ability to ensure confidentiality of data.

  • Ability to learn new software and university systems.

  • Ability to manage multiple tasks, prioritize assignments, and meet deadlines.

  • Minimum of 10 hours and 2 days of availability per week.

  • Maintain eligibility for student employment.

Preferred Qualifications

  • 1+ years of administrative support experience, including scheduling meetings, organizing files, or maintaining records.

  • Experience creating marketing materials, newsletters, or presentations.
