Job Description:

This recruitment will be used to fill a pool of part-time (a maximum of 24 hours per week) Student Event Assistants for the OSU-Cascades Event Services at Oregon State University - Cascades, located in Bend, Oregon.

Applications will be accepted year-round for the 2026-27 academic year. Student Event Assistants support the preparation, execution, and breakdown of university events and conferences. Students will provide their availability and can expect to be scheduled 5 hours/week, with flexibility during both the summer term and academic year.

Position Duties

  • Event Setup and Breakdown: Assist with setting up and dismantling event furniture, signage, equipment, catering materials, and A/V components.

  • Event Support: Provide support during events including guest check-in, event monitoring, customer service, assisting with catering and/or A/V needs, and ensuring event spaces remain safe and welcoming.

  • General Event Logistics: Assist Event Managers and Coordinators in preparing supplies, organizing storage spaces, and maintaining event equipment.

  • Campus Representation: Represent Event Services professionally to event clients, campus partners, and community guests.

  • Youth Protection, Food Safety, and Alcohol Compliance Support: Serve as an Authorized Adult when supporting events involving youth participants. Assist with food safety monitoring and alcohol service compliance when applicable to event operations.

Training Provided:

  • Mandatory training on abuse prevention and reporting, information technology security, youth protection, and diversity/inclusion.

  • Job-specific event setup, safety, and customer service training.

  • Opportunities for professional development and team-building activities throughout the year.

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

    • High School student: Regularly enrolled in a high school or participating in a home-schooling program

    • Undergraduate and post-baccalaureate student: 6 credit hours per term

    • Undergraduate international student: 12 credit hours per term*

    • Graduate student officially admitted to Graduate School: 5 credit hours per term

    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by theOffice of International Services (OIS), and must be provided to the Student Employment Center.

Required Qualifications:

  • Ability to lift and carry up to 50 lbs.

  • Ability to be reliable, punctual, and professional.

  • Ability to work independently and collaboratively.

  • Demonstrate basic organizational and communication skills.

Additional Required Qualifications:

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions, and those in Youth Programs may have additional Criminal History Checks every two years.

Preferred Qualifications:

  • Current full-time OSU-Cascades student or degree partnership student with OSU-Cascades and COCC, with a cumulative GPA of 2.50 or higher.

  • Previous experience in event setup, customer service, or related fields.

  • Proficiency in Microsoft Office Suite.

  • Possess or willingness to obtain OLCC Alcohol Server Permit within 30 days of hire (employer-paid if applicable).

  • Possess or willingness to obtain Oregon Food Handler’s Card within 30 days of hire (employer-paid if applicable).

  • Possess or willingness to obtain Authorized Adult status from OSU’s Office of Youth Protection.

Working Conditions/Schedule:

  • Part-time, variable shifts based on event schedules and staffing needs.
  • Shifts will be assigned to students at least one week in advance based on their provided availability; there are no standard weekly hours or assigned schedules.
  • Evening and weekend shifts may be required depending on event needs.
  • Work involves physical tasks including lifting, moving, standing, and walking for extended periods.
  • Work may be performed indoors or outdoors in various weather conditions.

Compensation:

  • $17.50/hour, approximately 5 hours/week.
  • T-shirt and nametag provided during training.
  • Students submit a monthly timesheet for supervisor approval on the 15th of each month and are paid at the end of each month.
