Job Description:

General Description: Provides project management support to ambulatory leadership ensuring appropriate and timely communications, developing project plans and milestones, and ensuring successful outcomes. May oversee assigned project staff and/or operational programs. Aligns project outcomes to achieve operational goals and increase patient access.

  • Project Management - Effectively manages a variety of projects to ensure financial, quality, service, and operational goals are achieved.

  • Employee Development - Responsible for training staff to ensure best practices are implemented across all clinic locations and they have the knowledge needed to successfully run their day to day.

  • Resource Management - Ensures that the department has the infrastructure and resources required to perform its role effectively and efficiently (i.e. data, tools, subject matter experts, etc.).

  • Time Management - Monitors department time lines to ensure resources are available and applied appropriately to achieve desired performance goals in a timely manner.

  • Process Improvement - Provides support to 3 - 6 process improvement efforts annually, which are expected to dramatically improve operating performance. May provide best practice examples from other healthcare organizations or industries.

  • Assessment - Provides active tracking tools and risk management summaries for all projects designated by senior leadership and summarizes individual projects progress and risks to senior leadership either bi-weekly or monthly.

  • Analytics - Able to run reports, analyze dashboards and reports to look for improvement opportunities, and create basic business cases

  • Personal Development - Keeps abreast of recent trends and developments in process innovation and project management in the healthcare field as well as in related industries.

  • Communication - Maintains effective internal and external communication regarding the process innovation and project management efforts, while providing timely information to executives, senior management and physicians throughout the system and the State. Provides consultative, coaching, or mentoring services to leadership, department staff, and outside entities as appropriate.

  • Outreach - Participates in meetings and on committees and represents the department in community outreach efforts. Oversees the development and implementation of communication plans, both internal and external to OU Health

  • As Needed. Performs various duties as needed to successfully fulfill the function of the position.

General Responsibilities:

  • Appointment reminder system

  • Epic EHR optimization within clinics

  • Projects that improve patient facing access issues

  • Projects that improve back office patient access issues

  • Performs other duties as assigned

  • Phone access for patients

Minimum Qualifications

Education: Bachelors degree required.

Experience: 0-3 years of experience required. 2 or more years of experience in a professional healthcare and/or healthcare consulting including some experience managing/leading multiple projects preferred.

License(s)/Certification(s)/Registration(s) Required: None required.

Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills, presentation and facilitation skills

  • Proven ability to solve complex problems effectively and manage multiple high priority deliverables

  • Excellent problem solving and project management skills

  • Process improvement background is preferred

  • Ability to manage multiple programs/projects at once

  • Proficient with the use of Microsoft Office tools
