Project Execution\nManage assigned projects end-to-end across estimating, order setup, permitting, fabrication, logistics, installation, quality control, completion, and service.\n\nMonitor project timelines and ensure timely completion.\n\n2. Estimating & Procurement\nPrepare project cost estimates.\n\nIssue RFQs to a minimum of three vendors per project for fabrication and installation.\n\nRemove client-identifying details from artwork before sending overseas RFQs.\n\nCollect vendor quotations and submit pricing for approval.\n\n3. Vendor Communication & Coordination\nServe as the primary point of contact for vendors through phone and email.\n\nRecord all vendor communications in Zoho on the same day.\n\nConfirm project specifications, mounting methods, and shipping configurations before issuing purchase orders.\n\n4. Purchase Order Management\nDraft purchase orders in Zoho within defined SOP timelines.\n\nVerify vendor documentation, including W-9, COI, Workers' Compensation, and outstanding balances.\n\nTrack purchase orders through Draft, Sent, Accepted, Billed, and Closed stages.\n\n5. Permitting & Logistics\nSupport permit submissions and coordinate follow-ups with relevant city authorities.\n\nManage domestic and international shipping documentation.\n\nEnsure shipping configurations align with installer pricing before dispatch.\n\n6. Zoho Data Management\nMaintain accurate and up-to-date project records, dates, and status fields in Zoho.\n\nEnsure every open task has a Next Contact Date.\n\nDocument schedule delays, exceptions, and their reasons.\n\n7. Quality Control\nReview shop drawings and pre-shipment photographs.\n\nEnsure all deliverables match approved project specifications before vendor release.\n\n8. Escalation Management\nIdentify and escalate project risks and delays before deadlines are missed.\n\nFollow the established Escalation Chart and ensure timely visibility of potential issues.\n\n9.
