Working within established SOPs, this role coordinates freight movements, validates shipping documentation, supports customs clearance activities, and assists with delivery scheduling and issue resolution.\nThis is an individual contributor role focused on operational execution, accuracy, and timely follow-up, with increasing ownership as experience develops.\nVendor & Shipment Coordination\nSupport vendor onboarding and ensure compliance with inbound logistics processes\nMonitor purchase order bookings and follow up on missing or late vendor actions\nReview booking details in VMS for accuracy (POs, quantities, destination DC)\nConfirm cargo delivery to origin facilities and receipt of FCRs\nFreight & Shipment Execution Support\nTrack inbound shipments across ocean, air, and rail transportation\nMonitor vessel schedules and flag potential delays or risks to senior team members\nAssist with prioritization of urgent or time-sensitive shipments\nUpdate shipment status and milestones in logistics systems\nDocumentation & Compliance Support\nReceive and review shipping documents for completeness and basic accuracy, including:Commercial Invoices\nPacking Lists\nCertificates of Origin and supporting trade documents\n\nIdentify discrepancies and coordinate corrections with vendors or internal teams\nPrepare documentation packages for submission to customs brokers\nCustoms Clearance Assistance\nForward arrival notices and required documents to customs brokers\nTrack clearance status and follow up on missing or outstanding documentation\nAssist with B3 and brokerage invoice reviews under guidance\nDC Delivery & Receiving Coordination\nSupport ASN generation and ensure timely transmission\nPrepare Shipping Reference Requests (SRRs) for DC delivery appointments\nTrack rail and trailer movements to final DCs\nFollow up on pending appointments and delivery confirmations\nFinancial & Administrative Support\nAssist with freight and accessorial invoice validation\nTrack chargebacks, credits, and supporting documentation\nMaintain accurate shipment records and filing in shared systems\nSupport detention and demurrage validation through data collection\nException Handling & Learning Exposure\nManage non-standard shipments (Europe, air freight, special commodities such as: Bikes, Kayaks and DG)\nEscalate issues promptly with clear documentation and status updates\nBuild foundational knowledge of international freight and import processes\nWhat you bring\nStrong attention to detail and organizational skills\nBasic understanding of logistics and supply chain concepts\nAbility to manage multiple tasks and deadlines in a fast-paced environment\nClear written and verbal communication skills\nComfortable working with spreadsheets, systems, and tracking tools\nWillingness to learn international trade and customs processes\nFinancial acumen related to freight costs, invoices, and charge validation\nThis posting represents an existing vacancy within our organization.\nWe may use artificial intelligence tools as part of our recruitment process to assist in the initial screening of resumes.
