The role requires someone whois organized, responsive, resourceful, detail-oriented, comfortable operating across multiple clients and systems, and able to exercise sound judgment in situations involving confidential information, executive calendars, client communications, billing, andtime-sensitive operational requests.\nThis is a high-visibility, high-impact role at the center of how Pasito runs: you’ll touch everything from operational processes and cross-functional projects to planning team events. This role is ideal for someone early in their career who wants to learn how a startup operates from the inside out.\nWhat You’ll Do\nBusiness Operations & Executive Support\nDeliver daily administrative and operational assistance to executive leadership and team members.\nHandle executive calendars, coordinate meeting logistics, and ensure timely follow-ups across time-sensitive internal and client requests.\nDraft, edit, and format critical client materials, including proposals, agreements, job descriptions, and operational handbooks.\nManage end-to-end digital signature workflows, verifying details, routing contracts, and monitoring execution status.\nAdminister internal tools and knowledge bases across systems like Notion, Teams, Clickup, Hubspot and Google Workspace.\nMonitor details that affect quality, consistency, naming conventions, formatting, version control, deadlines, and client experience.\nOwn client invoicing end-to-end, including sending invoices, managing billing communication, and collaborating closely with accounting and finance.\nCross-Functional Projects & Operations\nHelp coordinate initiatives across teams by tracking timelines, deliverables, document creation, calendar alignment, meeting recaps, and client interactions.\nMonitor action items across multiple client accounts and internal programs, flagging high-priority tasks and bottlenecks for executive review.\nExercise sound judgment when operating autonomously, asking clarifying questions, or raising critical items to leadership.\nSupport the documentation and improvement of internal workflows, refining operational templates, file organization, knowledge bases, and team transitions.\nBuild AI powered workflows to maintain system updates and ensure sync between teams.\nProduct\nSupport major product launches and strategic initiatives.\nAssist with product QA and testing before releases.\nSupport team training calendar and certification tracking\nPeople & Events\nCollaborate with marketing and sales to track and execute on in person events.\nPlan, book and track budget for team events, including conferences, team gatherings, offsites and other events as needed.\nWork with Pasito’s event coordinator to organize larger Pasito-sponsored events\nSupport employee engagement initiatives and internal communications in collaboration with HR team\nWhat We’re Looking For\n1-3 years of experience in business operations, executive support, office administration or related field.\nExcellent written and verbal English communication skills. You can communicate clearly, concisely, and effectively across different audiences, including drafting clear, professional, client-ready emails, or followup messages.\nCollaborative, proactive and service oriented communication style.\nHighly organized with strong attention to detail especially when working with names and company, client type, dates, signers, billing amounts, and scheduling.\nAbility to manage competing priorities, shift quickly between varied tasks and remain organized in a fast-moving client-service environment where the details and level of service matter.\nComfort with ambiguity.
