You will coordinate project documentation, construction requirements, contractors, vendors, customers, engineers, and Authorities Having Jurisdiction (AHJs). You will manage multiple projects simultaneously, track deadlines and requirements, prepare and submit documentation, and ensure each project progresses smoothly from quote through completion. This role is ideal for someone with U.S. commercial construction project management experience who is highly organized, detail-oriented, and comfortable working with construction documents, permits, contractors, and regulatory requirements.\nKey Responsibilities\nPre-Contract & Estimating\nReview and log incoming bid requests in the project management/CRM system.\nReview construction plans, drawings, specifications, and project manuals.\nResearch and document project requirements, including construction type, square footage, stories, taxes, warranties, maintenance agreements, insurance, bonds, and other requirements.\nResearch local AHJ requirements, fire codes, ERRCS policies, radio systems, frequencies, and permit requirements.\nCoordinate with AHJs to confirm enforcement, testing, plan review, permitting, and inspection requirements.\nResearch contractor licensing and registration requirements.\nSupport budgetary pricing and prepare project quotes.\nMaintain accurate project information and documentation in CRM and shared systems.\nContract Award & Vendor Coordination\nReview contracts and identify unusual or inconsistent requirements.\nCoordinate RFQs with RF engineers, installers, equipment distributors, and other vendors.\nReview system designs, vendor quotes, and Bills of Materials for accuracy and completeness.\nCoordinate pricing for equipment, electrical, fire alarm, roofing, and other project requirements.\nTrack sales tax, shipping, warranties, maintenance agreements, and other project costs.\nMaintain executed contracts and project records.\nPre-Installation Documentation\nPrepare, format, organize, and distribute project submittals to customers, installers, and AHJs.\nCoordinate building plans, certifications, permits, equipment documentation, system designs, reports, and trade coordination documents.\nPrepare and maintain installer work orders and project documentation.\nCollect and verify vendor W-9s, COIs, OSHA certifications, and other required credentials.\nCoordinate customer-specific requirements such as insurance, background checks, drug testing, badging, and certifications.\nConfirm project and contractor licensing or permit requirements.\nAHJ & Permit Coordination\nSubmit project documentation to AHJs for formal plan review when required.\nCoordinate BDA transmission requests with applicable radio system administrators.\nApply for required fire or building permits.\nTrack plan reviews, radio approvals, permits, and inspections.\nFollow up with AHJs and relevant authorities to keep approvals moving.\nMaintain accurate records of regulatory and permitting requirements.\nInstallation & Project Coordination\nCoordinate with technical services, installers, trades, customers, and vendors throughout the project.\nTrack equipment orders and delivery schedules.\nCoordinate responses to changes in building plans, construction timelines, and project requirements.\nFollow up on outstanding tasks, approvals, documents, and deliverables.\nMaintain project timelines and ensure stakeholders remain informed.\nIdentify and resolve project issues before they impact deadlines.\nPost-Installation & Closeout\nPrepare and distribute final project closeout documentation.\nMaintain system manuals and post-installation documentation.\nCoordinate commissioning reports, signal test reports, warranties, installation photos, and as-built system designs.\nConfirm completion of installer and trade coordination requirements.\nCoordinate project invoicing and supporting documentation.\nFollow up on lien waivers from installers and suppliers when required.\nEnsure projects are fully documented and properly closed.\nProcess Improvement & Automation\nMaintain and improve standardized project management processes, templates, and systems.\nIdentify opportunities to reduce manual work and improve project workflows.\nBuild and maintain organized documentation systems.\nSupport automation initiatives to improve project tracking, reporting, and communication.\nContinuously identify ways to improve efficiency and accountability.\nRequired Experience & Skills\nProven experience managing commercial or industrial construction projects.\nExperience managing multiple projects, budgets, timelines, contractors, and resources simultaneously.\nStrong understanding of U.S. construction project workflows.\nFamiliarity with International Building Code (IBC) and International Fire Code (IFC).\nStrong project documentation and coordination experience.\nExperience working with contractors, vendors, customers, engineers, and regulatory authorities.\nExpert-level proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and SharePoint.\nStrong experience with project management systems and/or CRM platforms.\nExcellent professional English communication skills, both written and verbal.\nExceptional organization, follow-up, and attention to detail.\nStrong ability to work independently and manage competing priorities.\nSelf-starter with the ability to learn new systems and processes quickly.\nContinuous-improvement mindset.\nPreferred Qualifications\nExperience with ERRCS, PS-DAS, BDA, RF systems, fire alarm systems, or public safety communications.\nExperience with Procore, Autodesk Construction Cloud, or similar construction management platforms.\nExperience coordinating with Fire Departments, Building Departments, Fire Marshals, Building Inspectors, or other AHJs.\nExperience with construction permitting and plan review processes.\nExperience working with U.S.-based commercial construction companies.\nTypical Day\nA typical day may include reviewing new bid requests, researching project and AHJ requirements, updating project records, following up with contractors and vendors, coordinating RFQs and submittals, tracking permits and approvals, reviewing
