You’ll serve as the central point of communication between tenants, vendors, property managers, and ownership teams to keep maintenance operations running efficiently.\nResponsibilities\nMaintenance Coordination\nReceive, prioritize, and manage maintenance requests.\nCreate and track work orders using property management systems.\nMonitor requests from intake through completion.\nPrioritize urgent maintenance issues and ensure timely resolution.\nVendor Management\nSchedule vendors, contractors, and technicians for repairs and inspections.\nCoordinate timelines and confirm service appointments.\nVerify vendor documentation, licensing, and compliance.\nFollow up to ensure work is completed on schedule.\nTenant Communication\nCommunicate maintenance updates and scheduling with tenants.\nProvide timely follow-ups throughout the repair process.\nConfirm satisfaction after work is completed.\nEscalate emergency or unresolved issues when necessary.\nPreventive Maintenance\nSchedule recurring maintenance, inspections, and preventive services.\nMaintain preventive maintenance calendars and tracking systems.\nIdentify recurring issues and recommend process improvements.\nSupport long-term property maintenance initiatives.\nDocumentation & Reporting\nMaintain accurate maintenance records, invoices, and work orders.\nEnsure documentation is complete and audit-ready.\nTrack maintenance costs, vendor performance, and resolution times.\nPrepare maintenance reports for leadership.\nRequired Experience & Skills\n2+ years of experience in property management, maintenance coordination, or facilities operations.\nExperience using Buildium, AppFolio, Yardi, or similar property management software.\nExperience coordinating vendors and managing work orders.\nStrong organizational and multitasking skills.\nExcellent written and verbal English communication skills.\nProficiency with Google Workspace or Microsoft Office.\nNice to Have\nExperience supporting multiple properties or portfolios of 100+ units.\nKnowledge of HVAC, plumbing, electrical, or general building systems.\nFamiliarity with OSHA, safety standards, or property compliance requirements.\nExperience implementing preventive maintenance programs.\nResidential, commercial, or multifamily property management experience.\nWhat Success Looks Like\nMaintenance requests are resolved within SLA timelines.\nHigh tenant satisfaction with maintenance services.\nVendors complete work accurately and on schedule.\nMaintenance documentation remains accurate and organized.\nPreventive maintenance is completed consistently.\nMinimal overdue or unresolved work orders.\nInterview Process\nInitial Recruiter Screening\nVideo Interview with Pavago Recruiter\nPractical Task (Maintenance Prioritization Exercise)\nClient Interview\nOffer & Onboarding\nWhat Happens After You Apply\nRight after you apply, you’ll receive an email invitation from Spark Hire to record your Intro Video.
