About the Role
At Pavago, one of our clients is hiring a Real Estate Deal Analyst & Coordinator to help analyze investment opportunities and keep a growing real estate deal pipeline organized and moving efficiently from initial lead through closing.
This role combines real estate deal analysis, transaction coordination, pipeline management, CRM administration, and operational support. You’ll review property and transaction data while ensuring active deals stay on schedule, stakeholders remain aligned, and critical follow-ups are completed.
You’ll work closely with buyers, sellers, real estate agents, title companies, internal stakeholders, and external partners throughout the transaction lifecycle.

What You’ll Own
Real Estate Deal Analysis
- Review property information, transaction details, and potential investment opportunities
- Analyze financial and operational data to support acquisition decisions
- Review deal structures and identify important considerations or potential risks
- Prepare clear deal summaries and recommendations for leadership
- Maintain accurate supporting information for investment opportunities
- Organize deal information so leadership can efficiently evaluate opportunities
- Flag missing information or potential concerns requiring additional review
Deal Pipeline Management
- Track active opportunities from initial lead through closing
- Maintain clear visibility into:
- Deal status
- Next steps
- Deadlines
- Follow-ups
- Closing milestones
- Ensure critical tasks and deadlines are completed on time
- Proactively follow up on outstanding action items
- Identify potential bottlenecks or risks before they delay transactions
- Keep stakeholders informed of deal progress and outstanding requirements
- Maintain accurate ownership and next steps across active opportunities
Transaction Coordination
- Coordinate communication between:
- Buyers
- Sellers
- Real estate agents
- Title companies
- Internal stakeholders
- External partners
- Schedule calls, meetings, and transaction-related follow-ups
- Ensure all parties have the information needed to keep transactions progressing
- Follow up proactively on outstanding documents, decisions, and next steps
- Track transaction milestones through closing
- Escalate delays or issues that could affect transaction timelines
CRM & Deal Documentation
- Maintain accurate CRM records, notes, activities, and deal statuses
- Keep property and transaction information organized and accessible
- Maintain current next steps and follow-up dates
- Prepare reports and supporting deal documentation
- Ensure CRM records accurately reflect each deal’s current status
- Maintain clean documentation throughout the transaction lifecycle
- Reduce missed follow-ups through disciplined CRM management
Reporting & Operational Visibility
- Give leadership clear visibility into the active deal pipeline
- Prepare deal status updates and pipeline reports
- Highlight:
- Upcoming deadlines
- At-risk transactions
- Outstanding follow-ups
- Potential bottlenecks
- Track progress across multiple active opportunities
- Help leadership quickly understand where each deal stands and what requires attention
Process Improvement
- Identify inefficiencies within deal and transaction workflows
- Recommend practical improvements to increase productivity
- Improve tracking, communication, and documentation processes
- Help create more scalable workflows as transaction volume grows
- Support initiatives designed to increase overall deal velocity
- Reduce preventable delays and coordination gaps
Requirements
- Experience in:
- Real estate operations
- Acquisitions
- Transaction coordination
- Deal management
- Similar real estate roles
- Strong analytical skills with the ability to evaluate property and transaction data
- Strong understanding of how real estate transactions progress from opportunity through closing
- Excellent organizational and project management skills
- Experience managing multiple active deals or projects simultaneously
- Experience using CRM systems
- Strong proficiency with Google Workspace
- Excellent written and verbal English communication skills
- Strong attention to detail and follow-through
- Ability to coordinate effectively with multiple stakeholders
- Ability to work independently in a remote environment
- Reliable internet connection
- Availability for 30+ hours per week during U.S. business hours

What a Typical Day Looks Like
Your day may start by reviewing the active deal pipeline, identifying upcoming deadlines, and checking which transactions require immediate attention.
You’ll review new opportunities and deal information, update CRM records, coordinate with buyers, sellers, agents, and title companies, and ensure outstanding documents and decisions are completed.
Throughout the day, you may prepare deal summaries, track transaction milestones, flag potential risks, and provide leadership with clear updates on where each opportunity stands.
You’ll also identify workflow gaps and help improve processes as transaction volume grows.
