This is not a standard bookkeeping role-you will be responsible for managing subcontractor accounts, contract reconciliations, Purchase Orders, progress claims, and payment schedules while working closely with Project Managers and the Commercial Manager.\nYou will play a key role in ensuring supplier payments are accurate, compliant with Australian Security of Payment legislation, and supported by complete commercial documentation.\nRESPONSIBILITIES:\nContract & Purchase Order Management\nMaintain live Contract Reconciliation Sheets for every Purchase Order\nEnsure all Purchase Orders include complete contract breakdowns\nObtain missing contract documentation from subcontractors where required\nMaintain accurate records of:\nApproved contract values\nVariations\nRetentions\nBack charges\nPrevious claims\nOutstanding balances\nInvoice Review & Commercial Reconciliation\nReview all supplier and subcontractor invoices against approved Purchase Orders\nVerify invoices align with approved contract values and project budgets\nIdentify discrepancies, duplicate claims and incorrect billing\nReconcile subcontractor claims against approved variations and retention balances\nEnsure commercial records remain accurate and up to date\nPayment Schedule Administration\nPrepare Payment Schedules in accordance with Australian Security of Payment\nrequirements\nDraft deductions and supporting commentary where claims are disputed\nLiaise with the Commercial Manager for approval prior to issue\nEnsure all Payment Schedules are issued within statutory timeframes\nProject Manager Coordination\nSend invoices to Site Managers for approval\nMonitor outstanding approvals daily\nFollow up Project Managers to ensure payment deadlines are achieved\nEscalate overdue approvals to management\nRecord all approval comments within reconciliation schedules\nAccounts & Bookkeeping\nProcess supplier invoices\nMaintain Accounts Payable records\nPerform supplier reconciliations\nAssist with month-end reporting\nSupport BAS preparation\nMaintain accurate financial records in Xero\nAssist with cash flow forecasting relating to subcontractor payments\nRequirements\nMinimum 5 years' bookkeeping or accounts experience\nMinimum 3 years supporting an Australian construction, building, civil, fit-out or trade business\nStrong understanding of Australian bookkeeping practices and GST\nExperience working with Purchase Orders, subcontractor invoices and supplier reconciliations\nExperience managing progress claims, variations and retention schedules\nExcellent written and verbal English\nAdvanced Microsoft Excel skills (Pivot Tables, XLOOKUP, SUMIFS, reconciliation reports)\nAdvanced experience using Xero\nExperience communicating directly with Australian Project Managers, Site Managers and subcontractors\nHighly Regarded\nExperience preparing Payment Schedules under Australian Security of Payment (SOPA) legislation\nExperience using construction software such as Procore, Buildxact, Simpro,\nWorkflowMax, Aroflo or similar\nExperience supporting multiple active construction projects
