This role is responsible for monitoring and logging incoming visitors, assisting with coordinating and supporting warehouse activities, monitoring security procedures, and assisting with the overall organization, safety, and efficiency of warehouse operations. The position requires diligence, mindfulness, and the ability to work effectively across multiple departments. Phillips values a workforce with a wide variety of experiences, backgrounds and skills, so we encourage you to apply even if you do not meet all the qualifications.\nPRIMARY RESPONSIBILTIES\nVisitor Management (50%) \nServe as the first point of contact for visitors, clients, vendors, and contractors. \nWelcome guests and ensure all visitors follow facility access procedures. \nMaintain visitor logs and issue temporary access credentials when required. \nCoordinate visitor notifications with internal departments and managers. \nFunction as an on-site visitor escort where/ when required. \nOperations Support(25%) \nAssist with maintaining a clean, organized, and safe warehouse environment. \nSupport warehouse housekeeping initiatives and facility upkeep. \nConduct daily facility walkthroughs and report maintenance, security, and safety concerns. \nAssist with inventory and supply management. \nReceive, organize, and safely store operational supplies. \nSupport weekly inventory checks and monthly equipment inspections. \nProvide operational support to Property Control, Art Technician, and Delivery Teams. \nAssist with loading and unloading activities when operationally required. \nMonitor loading dock area and ensure clear and safe working conditions. \nAssist with coordinating and providing security oversight during maintenance and facility repair activities. \nSecurity and Safety(25%) \nMaintain safety and compliance records as required. \nMonitor access control system and facility entry points. \nManage employees and contractor access credentials and PIN codes. \nServe as an assigned Key Holder for opening and closing procedures. \nConduct routine monitoring of security cameras and sensitive areas. \nReport security concerns and escalate incidents when appropriate. \nPerform daily inspections throughout the facility. \nMaintain safety supplies including first aid kits, PPE, and fire extinguishers. \nServe as point of contact during emergencies. \nCoordinate with emergency responders, including the Fire and Police departments when required. \nParticipate in CPR and First Aid certification training (Provided by the company). \nPromote compliance with the company's safety policies and procedures. \nEDUCATION, PROFESSIONAL SKILLS AND EXPERIENCE\nHigh School Diploma, or equivalent experience. \nEffective communication skills. \nAbility to maintain accurate records and documentation. \nStrong organizational and multitasking abilities \nDependable attendance and punctuality. \nProficiency with Microsoft Office applications, email, and basic business systems \nExperience in warehouse, coordination, property management, construction, or customer-facing operations environments. \nBasic knowledge of warehousing operations and inventory processes \nFamiliarity with access control systems and security protocols \nCPR and First Aid certifications \nForklift and High-Lo certified or (willingness to do so) \nPERSONAL ATTRIBUTES\nProfessional and welcoming demeanor. \nStrong attention to detail. \nExcellent verbal and written communication skills \nAbility to work independently while supporting multiple teams. \nProblem-solving mindset and initiative-taking approach. \nAbility to manage confidential and sensitive information. \nStrong organizational and time-management skills. \nWORKING CONDITIONS\nAbility to stand, walk, and move through the warehouse and office environment. \nAbility to lift 50 pounds when supporting operations. \nAbility to work indoors and outdoors as needed. \nAbility to use stairs and navigate warehouse spaces safely. \nWorking location is primarily at the warehouse and occasionally working at the Park Avenue Gallery or assisting the delivery team with collections or deliveries.\nStandard working hours are 9:30 am to 6:30 pm; additional hours, including occasionally early mornings, evenings, or weekends, may be required to support business operations or special circumstances.
