This role has a direct and ongoing impact on daily financial operations, ensuring timely processing, operational accuracy, and positive relationships with business partners.\nEssential FunctionsOversee day-to-day accounts payable activities, supervising a team of 2, ensuring timely and accurate processing, coding, and posting of all invoices and payments.\nCoordinate with the Purchasing Department, hotel venues, and other relevant departments to reconcile and resolve issues related to purchase orders, invoices, and receiving.\nReview and set up vendor payments to be made on a daily/weekly basis with Controller.\nPost business transactions, process invoices, verify financial data for use in maintaining account payable records, as needed.\nReview, approve, and set up new vendors in PO system, AP system, and banking system.\nEnsure that monthly accruals for goods/services received but not invoiced, and invoiced but not received are accurately recorded.\nReconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.\nEnsure the accuracy of the organization’s financial documents for payment, auditing and tax purposes.\nPrepare information for annual 1099 forms, ensuring all information is accurate to send to outside firm.\nSupport the annual audit process and assist with special reporting as needed.\nReview and identify opportunities for improving Accounts Payable processes to enhance efficiency and strengthen internal controls.\nPractice effective monitoring to ensure payments are made to vendors in a timely manner.\nProtect business against unintentional overpayment.\nUnderstand compliance issues around accounts payable processes (W-9, sales tax, etc.)\nUnderstand expense accounts and cost centers.\nPerform additional duties and special projects as assigned by the Controller.\nQualifications \nTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
