Processes that once took hours can now be completed in a fraction of the time at superhuman quality.\nPoetic is deployed globally, powering critical workflows for Fortune 500 companies with 98%+ quality across over half a million production runs.\nAbout the Role\nWe’re hiring a Recruiting Coordinator to help scale how Poetic hires. This role sits at the center of our recruiting process - ensuring candidates move quickly, interviews are tightly run, and every touchpoint reflects a high bar.\nThis is not a purely administrative role. You’ll be expected to operate with ownership, make judgment calls, and help enforce structure across the hiring process. You’ll work closely with recruiters, hiring managers, and leadership, often coordinating across executives and high-priority candidates.\nThe right person will bring strong attention to detail, clear and warm communication, and the confidence to make proactive improvements to the process.\nNOTE: This role does involve longer hours\nGenerally 9am to 9pm PT, six days a week (Monday through Friday, plus Sundays). Sundays tend to be lighter, but you should still be reachable for occasional pings. This is what everyone in the company is working as well.\nThat said, the expectation isn't that you need to be in the office that entire time. Expectation is being in the office during regular business hours Mon-Fri, and other hours can be from home - evenings are more about being available to respond if a candidate or internal interviewer reaches out - not constant work. The outcomes are the important thing though, no one's tracking hours.\nYou're welcome to shift the window earlier or later based on your preferences, as long as the coverage is there.\nResponsibilities\nOwn interview scheduling across multiple roles and stakeholders via email and slack\n\nAct as the primary point of contact for candidates throughout the interview process\n\nDeliver a high-quality, responsive candidate experience\n\nPartner closely with recruiters and hiring managers to keep processes moving with urgency\n\nCoordinate complex scheduling across executives and cross-functional teams\n\nMaintain accurate and up-to-date data in Ashby (ATS)\n\nIdentify inefficiencies in the recruiting process and proactively solve them\n\nHelp enforce consistency and structure in interview processes and feedback loops\n\nPush back when needed on timelines, expectations, or unclear inputs\n\nSome Attributes You Should Have\nThe most important attribute is never dropping a ball - you should be paranoid and make sure that every email from a candidate is responded to and handled properly\n\n1-2 years of experience in recruiting coordination or a similar communications role\n\nStrong organizational skills and attention to detail\n\nClear, professional communication and executive presence\n\nAbility to manage multiple workflows and messages simultaneously without dropping details (you will have 100s of messages to respond to every day, so you should be very on top of everything)\n\nHigh ownership and reliability -
