Title: Vendor Management Coordinator | Payments and Support\nGeneral Description\nResponsible for coordinating vendor management activities, including processing invoices and purchase requisitions, assisting in identifying the appropriate procurement method, initiating and tracking contract processes, and providing guidance to business units throughout the vendor lifecycle.\nEssential Duties and Responsibilities\nCoordinate the resolution of invoice exceptions, aging items, credits, debit adjustments, and payment issues.\nCoordinate and track purchase requisitions and purchase orders from creation through completion.\nMonitor invoice due dates and follow up with responsible parties to support timely processing according to contract terms.\nPerform manual invoice reconciliations, analyze and resolve complex discrepancies to ensure accurate and timely processing.\nCoordinate contract creation, amendments, renewals, and expirations, and monitor key obligations, payment terms, and deliverables throughout the contract lifecycle.\nServe as the liaison among Our People units and the Procurement, Accounting, Legal, Risk, and Insurance teams to resolve vendor, contract, invoicing, and requisition matters.\nDevelop operational reports and dashboards using Power BI.\nTrack assigned workflows, tasks, and priorities using Microsoft Planner, Jira, and Kanban methodologies.\nIdentify process improvements and recommend and support the implementation of controls to reduce errors and delays.\nSupport internal and external audits.\nBuild strong working relationships with business units, understand their needs, ask appropriate questions, and provide timely procurement support.\nMinimum Education\nBachelor’s degree in business administration.\nExperience\nTwo (2) years of experience in contract administration, accounts payable, invoicing, procurement, or vendor management.\nExperience performing manual invoice reconciliations and resolving complex discrepancies.\nExperience reviewing contracts, purchase orders, invoices, and payment terms.\nExperience with Ariba or a comparable procurement and invoice-management platform.\nExperience using Power BI for data analysis, dashboard development and reporting.\nExperience using Microsoft Planner, Jira, and Kanban methodologies to manage tasks, workflows, priorities, and project progress.\nKnowledge, Skills & Abilities (KSA's)\nKnowledge of invoice processing, manual reconciliation, purchasing, and contract-lifecycle management.\nStrong analytical skills, attention to detail, and ability to develop practical solutions.\nAbility to prioritize high-volume workloads and meet strict deadlines.\nAbility to interpret contract terms and assess operational or financial impact.\nKnowledge of accounting principles relevant to invoice processing, reconciliations, payment adjustments, and related operational reporting.\nAbility to remain focused on critical issues and complete assignments accurately and on time despite competing demands.\nAbility to anticipate operational issues, assess priorities, and recommend or initiate appropriate follow-up actions.\nAbility to work independently and meet deadlines.\nAbility to adapt to changes, new situations, and work under pressure.\nFocused on achieving results through collaboration and teamwork.\nAbility to communicate effectively with colleagues.\nExcellent written and verbal communication skills in both English and Spanish.\nProficiency in Microsoft 365
