This position is responsible for administrative support of our Rentals operations.\nEssential Job Functions:\nCoordinate purchase orders for rentals, repairs, maintenance, and third-party services.\nEnsure accurate coding, cost allocation, and all customer requirements are met.\nMaintain knowledge of rental fleet operations, customer contracts, equipment utilization, and supporting documentation to facilitate tracking and reporting.\nReview work orders and supporting documents to prepare, validate, and process accurate customer invoices, including rental charges, repairs, and other billable items.\nResolve billing discrepancies, respond to customer inquiries, and submit invoices through customer portals and electronic invoicing systems.\nSupport financial reporting by preparing month-end accruals, maintaining records, generating operational and financial reports, and providing audit documentation as required.\nDrive process improvements, ensure compliance with company policies and contractual obligations, and adapt to changing priorities.\nKnowledge, Skills and Abilities:\nStrong verbal and written communication skills with a customer-focused approach.\nHigh level of professionalism, integrity, and confidentiality.\nExcellent organizational, time management, and prioritization skills with the ability to meet deadlines.\nStrong attention to detail, accuracy, information management, and problem-solving abilities.\nSolid understanding of basic accounting and billing principles; proficient in Excel.\nExperience with Cortex, OpenInvoice, ETS, or FileMaker is considered an asset.\nEducation and Experience Requirements:\nHigh School or GED\nDegree in related field preferred\n1-2+ years' proven working experience in an administrative role\nWith an active and engaged operations team and the safest work practices in the industry;
