The office is where a globally distributed team becomes one team: where researchers and engineers work side by side, where customers and partners visit, and where onsites and offsites bring everyone together. Making that space work well, every day, is not a background task - it shapes how the company feels to work at.\nAs Office Manager, you will run our SF office day to day and help plan the in-person moments that bring the team together: onsites, offsites, team dinners, and events in San Francisco, New York, and Berlin. You will be office manager, host, planner, and fixer in one. The first big project is our office move, which you will help drive end to end.\nThis is a high-trust, high-autonomy role reporting to our Executive Business Partner, fully onsite five days a week. If you like variety, take pride in a space that runs well, and spot what's broken before anyone asks, you'll fit right in.\nResponsibilities\nOffice Operations\nHelp drive the office move end to end - vendors, logistics, and onsite needs - as the first priority\n\nRun SF HQ day to day: space, kitchen and snacks, furniture, supplies, mail, and packages\n\nDo daily walkthroughs to keep the office clean, safe, stocked, and compliant with health and safety requirements\n\nServe as the point of contact for building management, maintenance, and facilities vendors, including cleaning and AV\n\nManage access control and visitor registration, including badges and guest credentials\n\nBe the onsite point person for equipment, printers, monitors, and conference room tech, in partnership with IT\n\nMaintain desk assignments, meeting room bookings, and phone booths\n\nSupport purchasing and vendor invoices with the Executive Business Partner\n\nOnsites, Offsites & Events\nHelp plan and run company onsites and offsites: venues, housing, travel, catering, group activities, and daily onsite operations\n\nSupport logistics for executive leadership offsites, conferences, and customer visits\n\nPlan happy hours, dinners, celebrations, and events in SF and other cities, including New York and Berlin\n\nManage event vendors alongside the Executive Business Partner\n\nTravel & Executive Support\nBook and coordinate team travel for offsites, events, and in-office visits\n\nSupport international travelers with logistics such as ESTA and visa invitation letters\n\nBack up the Executive Business Partner during PTO and peak periods: calendars, travel, expenses, and ad-hoc needs\n\nWorkplace Experience\nHost guests and shape the in-person experience for visitors, candidates, and customers\n\nRun employee experience programs, track team birthdays, and help build culture through team events\n\nHelp manage the Shopify store and merch\n\nWhat We're Looking For\n3+ years in office management, workplace operations, hospitality, or event coordination, ideally at a fast-growing startup\n\nHands-on experience planning multi-day offsites or events for 30+ people\n\nFluency with Google Workspace, Slack, and Notion; comfortable with laptops, docks, and conference room tech\n\nRidiculously organized, with strong follow-through and attention to detail\n\nWarm, unflappable, and great with people at every level\n\nComfortable with shifting priorities and making the call when no one else is around to make it\n\nSound judgment with confidential information\n\nAI-native in how you work: you use LLMs and automation to take repetitive work off your plate\n\nBased in SF and able to be fully onsite five days a week; able to lift up to 25 lbs\n\nBonus:\nInternational travel and group housing logistics\n\nExperience with access control or visitor management systems\n\nExperience managing an office move or build-out\n\nExperience with Shopify\n\nWhy This Role\nYou will own how Prime Intellect works in person - the office, the events, the moments that turn a distributed team into one - at a company where the people walking through the door are among the best researchers and engineers in the world.
