As a Documentation Specialist, you'll play a help ensure Qantas Freight teams have access to clear, accurate and practical operational documentation. Working closely with operational teams, process owners and subject matter experts, you’ll progress controlled documents through consultation, approval, publication and ongoing maintenance. This includes SOPs, manuals, user guides, checklists, process maps and operational communications.

You'll work across a broad range of range of Freight operations, gather and translating technical, regulatory and operational requirements into practical documentation. This includes identifying gaps, resolving conflicting inputs and constructively challenging existing practices to achieve compliant, efficient and workable outcomes.

Success in this role means applying operational insight and professional judgement to deliver controlled documentation that teams can understand, trust and confidently apply.

In this role, you will:

  • Develop, review and maintain controlled operational processes, SOPs, manuals, user guides, checklists and communications.
  • Work with SMEs and process owners to understand existing practices and document clear, compliant and practical ways of working.
  • Validate relevant operational, safety, regulatory and business requirements.
  • Coordinate document consultation, review, approval, publication and version-control activities.
  • Work with publication partner to ensure documents meet standards and formatting requirements.
  • Identify documentation gaps, inconsistencies and process-improvement opportunities.
  • Tailor content for different audiences, with a strong focus on frontline clarity and usability.
  • Monitor feedback and operational change to keep documentation current and fit for purpose.
  • Support operational notices, process maps and training-impact identification where required.

You’ll have:

  • Experience within freight, logistics, aviation or another operationally focused environment.
  • Experience developing business processes, SOPs or other controlled documentation.
  • Strong written communication and editing skills, with exceptional attention to detail.
  • Ability to translate complex operational information into practical documentation.
  • Demonstrated stakeholder management, influencing and problem-solving skills.
  • A practical approach to problem-solving and continuous improvement.
  • Strong organisational skills with the ability to manage competing priorities.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Visio.
