{"id":2594701,"url":"https://alion.io/job/qsourcing-operations-controller-transport","title":"OPERATIONS CONTROLLER-TRANSPORT","company":{"id":4423592,"name":"Q-Sourcing Servtec","domain":"qsourcing.com","url":"https://alion.io/company/qsourcing","size_band":null,"is_staffing_agency":true,"employer_type":"agency","is_intermediary":false,"listed_via":null,"ats_vendor":"Zoho Recruit","truth_index":null},"role":"Finance","role_family":"Finance","seniority":null,"employment_type":"full_time","work_mode":"on_site","remote_scope":null,"remote_scope_basis":null,"remote_working_hours":null,"hiring_geo_confidence":"structured","locations":["Nairobi, Kenya"],"countries":["KE"],"hiring_countries":[],"hiring_countries_total":0,"salary":null,"salary_estimate":null,"experience_years_min":null,"visa_sponsorship":false,"relocation_package":false,"has_equity":false,"technologies":[{"name":"SOPS","optional":false}],"status":"live","first_seen_at":"2026-10-15T06:45:40Z","employer_posted_date":"2026-10-15","last_verified_at":"2026-10-24T02:11:33Z","board_verified":true,"closed_at":null,"days_open":8,"trust":{"level":"ok","repost_count":null,"flags":[],"days_open":8},"description":"JOB TITLE: OPERATIONS CONTROLLER-TRANSPORT\nAbout This Job:\nQ-Sourcing\nLimited trading as Q-Sourcing Servtec is a man power management solutions firm\noperating in the East African Region in the countries of Uganda, Kenya,\nTanzania, Rwanda, and South Sudan.\nOn behalf of\nour client, we are looking for a competent, skilled, and experiencedOperations Controller to work in Nairobi, Kenya\nJob Summary:\nContribute\nto an effective service delivery through the handling, monitoring and control\nof shipments from start to finish within required specifications and in\naccordance with agreed policies / procedures and local legislation.\nDUTIES\n& RESPONSIBILITIES:\nOperations\n·Carry out the opening of shipment files including\nallocating a shipment file number, establish and obtain\n·landside and transport rates, 3rd party Service\nprovider costs and quality assure that the rates on the\n·shipping line invoice are in accordance with buying\nrates.\n·Receive shipment pre-alert documents and Quality\nControl (QC) for completeness, correctness, validity and\n·any other relevant parameter\n·Ensure all documentation including confirmation of the\nshipment details are obtained and is provided to the\n·clearing department and that the consignee has been\nappropriately notified and status report updated.\n·Gather cargo and origination information, buying and\nselling rates from the relevant office and finalise,\n·agree, and arrange the shipping method with the client\nand international offices.\n·Facilitate a responsive turnaround time and internal\nhandover of documents by monitoring cargo arrival\n·against the bookings with the shipping lines or\nAirlines and ensuring order / indent facilitation.\n·Monitor and track success of services and nature of\nfailures to ensure continuous development within Operations.\n·Custodian of ensuring all shipments are cleared,\nreleased and delivered withing stipulated time frames.\n·Remain abreast of a variety of geographic landscape to\noffer informed guidance to clients and stakeholders (internal and external\ndocumentation as per customer requirements.\n·Coordinate preparation, issuance, transmission &\nfiling of relevant transport documents such as Road\n·Consignment Notes, weighbridge receipt and PODs’.\n·Reconciliation of delivered shipment i.e.. loaded vs\ndelivered quantities against the shipping documents to identify variances,\nthereafter, addressing such variances according to set procedures &\ncontract provisions\nOperational\nFinance\n·Ensure all accruals for the individual shipments are\ncaptured and accurate in the month of the revenue\n·recognition of the file. Any demurrage\n/detention/storage should be accrued for prior to actual invoices\n·being received.\n·Assist in the timeous and efficient closeout related\nto shipments by tracking and tracing client shipments\n·from indent, to P.O.D. and invoice payment.\n·Obtain completed clearing instruction from the client\nand timeously advise the clearing agent/client to\n·forward original bill of landing to handover file to\nentries for further processing. Controller must verify\n·information on BL/ HBL / AWB against the information\non Invoice and Packing list and any other supporting\n·documents such as permits / certificates prior to\nsubmission to Customs clearing team.\n·Work towards ensuring invoice to client is similarly\naligned to the estimate that was issued before business\n·was acquired.\n·Ensure all anticipated or forecasted accruals are\ncaptured for invoicing purposes noting of the nature of\n·shipment and geographic landscape.\n·Drive the timeous issuing of invoices to client with\nthe relevant stakeholders (Finance team, GSC etc)\nClient\nEngagement\n·Proactively Interact with clients to keep them\ninformed by notifying them of the arrival, clearance, dispatch &\nloading/offloading of shipments and provide general assistance to Controllers\nin respect of updating the relevant systems with respective milestones.\n·Coordinate shipments end to end and acting as a\ncontact person for the client by updating them throughout\n·the product shipment lifecycle.\n·Drive client retention by ensuring operational\nefficiency and excellent communication to client and internal and external\nstakeholder within Operations.\n·Minimize client escalation by addressing all issues\nclient raises and seek support when required from the relevant stakeholder to\nensure client satisfaction.\n·Offer the client the best solution by working with the\nproduct, pricing and procurement team in solution development.\n·Establish and develop strongly valued relationships\nwith all carriers, agents and internal and external\n·customers with the purpose of increasing confidence in\nand the reputation of the business driving brand awareness and loyalty.\n·Ensure all client queries / complaints are resolved\ntimeously and, in a manner, which satisfies the query / complaint.\n·Custodian for ensuring the client KPIs are met and\nachieved.\nCompliance\n·Ensure that all activities in the area of\nresponsibility are compliant with company specific regulations and aligned with\nGlobal SOPS and Business Rules\n·First point of contact for the client on customs\nqueries and work with the subject matter experts in addressing the client\nqueries.\n·Work with the customs team and revenue authority\noffice during document compilation to ensure all required documents submitted\nand compliances are met before shipment arrives.\n·Critically engage with the Revenue authority around\ntariffs and pricing to ensure alignment with in-county legislation and\nadherence to compliance practices.\n·Daily / Monthly / Weekly reporting which include but\nare not limited to Exception reporting / Unbilled reports/ Volume reports /\nStatus reports/ WIPS and ACCRUALS).\nKNOWLEDGE, SKILLS, AND EXPERIENCE:\nMinimum Diploma in Supply Chain, Logistics,Transport Management, Port Operations or equivalent with a minimum experience\nof 3years.\n\nCustoms Clearance accreditation - is an addedadvantage.\n\nFreight Forwarding certificate\nExcellent Communication skills\nDecision-making, problem-solving, creativity\nAnalytical skills, attention to detail\nAbility to interact at a high level withclients, senior management, and authorities\n\nAbility to work in a team environment\n·Ability to\nwork independently with minimal supervision\nInterested\nand qualified applicants should submit their applications through the link\nbelow.\nNote:\nOnly shortlisted applicants will be\ncontacted.\nQ-SOURCING SERVTEC IS AN EQUAL\nOPPORTUNITY EMPLOYER.
