ABOUT THE ROLE\nRwanda will host the International Congress and Convention\nAssociation (ICCA) Congress from 24 to 27 October 2027, welcoming more than\n1,500 business events professionals from around the world.\nRwanda Convention Bureau (RCB) is recruiting a hands-on\nLogistics & Operations Lead to translate the Local Organising Committee’s\noperational strategy into detailed plans, coordinated schedules and effective\non-site delivery.\nThe role covers venue operations, transport, accommodation,\nregistration, supplier management and production.\nThe 12-month contract will run from the date of signature\nuntil one month after the Congress.\n2. KEY RESPONSIBILITIES\n2.1. Venue Operations\nCoordinateroom allocations and the exhibition, registration, VIP, speaker and media\nareas with the Kigali Convention Centre.\n\nManagesupplier access, signage, delegate flow and backup plans for power,\nconnectivity and audiovisual services.\n\n2.2. Transport and Mobility\nDevelopand manage plans for airport arrivals, delegate transfers and VIP\nmovements in coordination with protocol and security teams.\n\nMaintainvehicle schedules, driver rosters, live monitoring and contingency\narrangements.\n\n2.3. Accommodation and Delegate Services\nMaintainthe accommodation allocation tracker and coordinate with hotels.\n\nSupportregistration, accreditation, access control and queue management.\n\n2.4. Suppliers and Production\nMaintainthe supplier matrix, brief suppliers, monitor mobilisation, verify\nreadiness and completed services, and escalate gaps to the Head of LOC.\n\nCoordinatecatering logistics, audiovisual and production build and strike, branding,\nand signage installation.\n\n2.5. Staffing and Readiness\nPreparedeployment rosters for staff, volunteers and help desks.\n\nCoordinateoperational tests and rehearsals and track issues through to resolution.\n\n2.6. On-Site Delivery and Close-Out\nLeadday-to-day logistics from the command centre, including readiness checks,\ndaily debriefs, incident and decision logs, and escalation of cost\nimplications.\n\nOverseebreakdown, inventory reconciliation and the final close-out report.\n\n3. QUALIFICATIONS AND EXPERIENCE\n3.1. Education and General Experience\nCandidates must meet one of the following requirements:\nA Bachelor’sDegree in Event Management, Hospitality, Tourism, Logistics,\nOperations Management, Business Administration or a related field, with at\nleast six (6) years of professional experience; or\n\nA Master’sDegree in one of these fields, with at least three (3) years of\nprofessional experience.\n\n3.2. Relevant Operational Experience\nAt least three (3) years of experience in event logistics,\nconference operations or hospitality operations, including proven delivery\nexperience for major conferences or congresses, preferably involving 1,000 or\nmore participants.\n3.3. Breadth of Experience\nDemonstrated capability across several operational areas,\nsuch as venue operations, delegate transport, accommodation, accreditation,\nsupplier management, production, delegate flow and live-event command centres.\n3.4. Preferred Background\nExperience with large international or government events is\nhighly desirable. Knowledge of Rwanda’s hospitality and events supply chain is\nan advantage.\n3.5. Certification and Languages\nA professional certification in events, project management\nor MICE is an advantage.\nFluency in English is required. Proficiency in Kinyarwanda\nand/or French is an advantage.\n4. SKILLS AND COMPETENCIES\n4.1. Operational Planning and Coordination\nStrong planning, organisational and coordination skills,\nwith meticulous attention to detail and the ability to manage multiple\ninterdependent workstreams.\n4.2. Supplier and Stakeholder Management\nProven ability to manage suppliers and coordinate\neffectively with diverse stakeholders, supported by excellent communication and\ninterpersonal skills.\n4.3. Problem-Solving and Risk Management\nAbility to make sound decisions under pressure, anticipate\noperational risks and develop practical contingency plans.\n4.4. Technical and Analytical Skills\nAdvanced Excel proficiency, strong tracking and scheduling\ncapabilities, budget awareness, and the ability to interpret venue floor plans\nand operational layouts.\n4.5.
