Distribution\nDocumentation Handling\nEnsuredrivers submit complete and signed delivery documentation-including Proof of\nDelivery (POD) and invoices-upon return and verify that all document handover\nforms are accurately completed and acknowledged.\n\nTrackPOD submission timelines from third-party providers, identify delays, and\nescalate promptly to ensure compliance with agreed delivery standards.\n\nSort andreview submitted PODs, initiate follow-up actions for incomplete or disputed\nrecords, and oversee timely resolution and closure of all outstanding POD\nissues in line with submission deadlines.\n\nProcessProof of Delivery (POD) documentation by entering all relevant delivery\ninformation into the system and verifying completeness of records for each\ndispatch.\n\nScan andupload signed PODs and related documentation into the designated system,\nensuring records are correctly indexed and retrievable for audit and reporting\npurposes.\n\nAddressdocumentation queries from internal departments and external clients.\n\nMaintainorganised document archives with correct indexing for easy retrieval.\n\nEnsureproper digital backup and secure storage of electronic records to protect\nagainst data loss and support long-term accessibility.\n\nEnsureall records and distribution-related documents are properly filed, securely\nstored, and readily accessible for internal reviews and external audits.\n\nMaintainhardcopy and electronic records in line with SOP-defined retention periods and\nclient contractual requirements.\n\nConductroutine internal audits and self-inspections to identify and address compliance\nrisks, documentation gaps, and SOP deviations.\n\nImplement corrective actions for misfiled, missing, or incomplete PODs,\nensuring accurate record keeping and timely submission compliance.\n1.1.Reports\n1. Assist\nin conducting safety briefings for visitors, clients, and TSPs entering\ndistribution areas, ensuring awareness of site procedures.\n7. Observe\nand report unsafe handling of distribution tools and equipment (e.g., hand\njacks, scanners), supporting injury prevention.\n8. Maintain\nenvironmental standards in documentation zones by ensuring cleanliness and\nfollowing structured waste disposal procedures.\n9. Guide\ndrivers during vehicle docking in distribution areas to prevent accidents and\nprotect personnel safety.\n10. Support\ncontrolled vehicle manoeuvring through adherence to structured docking\nprotocols within designated distribution zones.\n11. Assist with training new\nstaff on proper handling of documentation tools and basic distribution safety\nprocedures.\n1.2.Communication,\nCoordination, and Team Collaboration\n1. Communicate\nclearly with colleagues, supervisors, and delivery partners to support smooth delivery\nof orders in full and on time.\n2. Respond timely\nto client queries and assist in resolving delivery-related issues through\neffective coordination.\n3. Foster\nrespectful and positive working relationships with internal teams and external\nservice providers (TSPs).\n4. Assist\nsupervisors in organizing delivery workflows and supporting drivers and\nassistants to meet daily goals.\n5. Participate\nin team training activities and provide helpful input to improve documentation\nand delivery practices.\n6.
