Role Overview:
QuadReal Property Group is seeking a detail-oriented Leasing Coordinator to cover an 18-month maternity leave. This is a fast-paced, deadline-driven role at the centre of the leasing team's deal execution - you will own the end-to-end process of getting transactions closed, recorded, and published, while keeping the team organized and on track.
Responsibilities:
Deal Execution & Documentation
- Prepare and manage all deal package documentation including generating Trade Record Sheets
- Upload completed deal packages into Deal Manager and maintain accurate deal inputs
- Update all deals done trackers upon execution, including the consolidated lease expiry roll, deals done tracker, leasing commission fees log, team deals done dashboard, FindSpace, and MLS
Listings & Online Presence
- Prepare MLS agreements, circulate for signatures and upload to MLS
- Ensure listings are current across FindSpace, MLS, Altus, Arcestra, and the QuadReal website
- Create feature sheets for new listings using the Marq platform
- Track and manage external listings
- Maintain Expiry Rent Roll Sheet
Finance & Administration
- Process monthly expense reports for all leasing team members in Workday
- Submit broker commission payments to accounting and process invoices in Yardi, including wire transfer coordination
- Code and manage all departmental invoices; coordinate with Accounting and request new vendor setups as required
- Update the Marketing Property Level Budgets spreadsheet monthly
Marketing & Events
- Prepare and coordinate annual MASTERS GOLF distribution list and deliverables
- Assist with creation of RFPs and marketing materials
- Arrange building photography as required
- Maintain and update the broker contact database (February and September)
Experience and Qualifications:
- 3+ years of administrative experience, with commercial real estate experience strongly preferred
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint); familiarity with Yardi, Deal Manager, FindSpace, Marq, or similar platforms is an asset
- Exceptional organizational skills with the ability to manage competing priorities and tight deadlines
- Strong attention to detail - accuracy in deal documentation and data entry is critical
- Superior written and verbal communication skills; comfortable liaising with internal departments and external brokers
- Self-directed and proactive - able to work independently and anticipate team needs without being prompted
The expected annualized base salary range for this role is $60,000-$75,000.
Based on the position, QuadReal offers a competitive total rewards package in addition to the base pay, which may include a performance-based incentive plan, comprehensive health & dental benefits, pension plan, and paid time off.
