{"id":2663835,"url":"https://alion.io/job/quality-enclosures-scheduling-operations-coordinator","title":"Scheduling & Operations Coordinator","company":{"id":4421733,"name":"Quality Enclosures","domain":"qualityenclosures.com","url":"https://alion.io/company/qualityenclosures","size_band":null,"is_staffing_agency":false,"employer_type":"direct","is_intermediary":false,"listed_via":null,"ats_vendor":"Paylocity","truth_index":null},"role":"Administrative","role_family":"Administrative","seniority":null,"employment_type":null,"work_mode":"on_site","remote_scope":null,"remote_scope_basis":null,"remote_working_hours":null,"hiring_geo_confidence":"structured","locations":["Sarasota, United States"],"countries":["US"],"hiring_countries":[],"hiring_countries_total":0,"salary":{"min":19,"max":20,"currency":"USD","period":"hour","gross":null,"usd_annual":40000},"salary_estimate":null,"experience_years_min":null,"visa_sponsorship":false,"relocation_package":false,"has_equity":false,"technologies":[{"name":"Microsoft Teams","optional":false},{"name":"Outlook","optional":false}],"status":"live","first_seen_at":"2026-10-02T20:43:48Z","employer_posted_date":"2026-10-16","last_verified_at":"2026-10-19T03:59:09Z","board_verified":true,"closed_at":null,"days_open":16,"trust":{"level":"ok","repost_count":null,"flags":[],"days_open":16},"description":"Description\nQuality Enclosures is seeking a dependable and organized Scheduling & Operations Support team member to assist with daily scheduling, production paperwork, shipping, and delivery activities.\nApproximately 80% of the position involves scheduling, paperwork, order updates, and communication, with approximately 20% supporting warehouse, shipping, or manufacturing activities as business needs require.\nThis is a good opportunity for someone who is detail-oriented, comfortable using computers, communicates well, and enjoys working in a fast-paced team environment.\nPrimary Responsibilities\nPrepare and organize load sheets and paperwork for daily deliveries.\nPrint, separate, and distribute production paperwork based on daily priorities.\nUpdate paperwork and system notes when delivery dates, orders, or priorities change.\nCommunicate rush orders, date changes, and other updates to production and shipping teams.\nTrack back orders and follow up for updated information as needed.\nAssist with processing returns and RMAs.\nMonitor email and Microsoft Teams for order changes, cancellations, and other updates.\nEnter and maintain order notes and information in NetSuite.\nCollect completed load sheets, scan packing slips, and maintain required files.\nAssist with invoicing paperwork and UPS shipments.\nCommunicate with drivers and customers regarding deliveries, pickups, and returns.\nReview upcoming deliveries and help prepare information needed for the next day's routes.\nProvide general support to the production, warehouse, and shipping teams when needed.\nAssist with staging, organizing, preparing, or moving materials and orders as assigned.\nCross-train in other office and operational tasks to provide coverage when needed.\nPerform other related duties based on business needs.\nQualifications & Skills\nHigh school diploma, GED, or equivalent required.\nBasic working knowledge of Microsoft Word, Excel, Outlook, and Teams.\nComfortable learning and using computer-based order or inventory systems.\nGood written and verbal communication skills.\nStrong attention to detail and organization.\nAbility to follow established procedures and complete tasks accurately.\nAbility to manage multiple tasks and adjust when priorities change.\nAbility to work effectively with office, warehouse, shipping, and production team members.\nFamiliarity with Oracle NetSuite or similar software is helpful but not required.\nPhysical Demands\nAbility to regularly use computers, phones, scanners, copiers, and other standard office equipment.\nAbility to sit for extended periods while completing scheduling and administrative work.\nAbility to periodically stand and walk while assisting in warehouse, shipping, or manufacturing areas.\nAbility to bend, reach, and assist with routine material-handling activities as needed.\nAbility to lift up to 50 pounds.\nWorking Conditions\nThis position works primarily indoors, with most of the work performed in an office environment.\nThe position also requires periodic work in warehouse, shipping, and manufacturing areas. These areas may include exposure to glass breakage, moving equipment, and normal manufacturing activity. Required personal protective equipment (PPE) must be worn when entering designated areas.\nThis role is not limited to the duties and responsibilities listed above.
