This role oversees facility maintenance activities, physical security systems, contractor coordination, access control, emergency preparedness, and compliance with company policies and regulatory requirements. The Coordinator serves as a key point of contact for facility-related issues and helps ensure a safe, productive environment for employees, visitors, and contractors.What You'll Do\nFacilities Management\nCoordinate day-to-day facility operations and maintenance activities across office, warehouse, and field support locations.\nManage work orders and service requests related to building systems, utilities, repairs, and workplace improvements.\nCoordinate with vendors, contractors, and service providers to ensure timely completion of maintenance and repair work.\nConduct routine facility inspections to identify safety hazards, maintenance needs, and operational improvements.\nMonitor facility-related budgets, invoices, and service contracts.\nSupport office space planning, furniture management, and workplace organization initiatives.\nMaintain records of inspections, maintenance schedules, warranties, and service agreements.\nSecurity Administration\nAdminister badge access systems, key control programs, and visitor management processes.\nMaintain employee and contractor access permissions in accordance with company policies.\nCoordinate physical security measures including CCTV systems, alarms, locks, gates, and security monitoring services.\nInvestigate and document security incidents, suspicious activities, and access control issues.\nAssist in the development and implementation of site security procedures and protocols.\nSupport cybersecurity awareness initiatives as they relate to physical security and facility access.\nSafety & Compliance\nAssist with emergency response planning, evacuation procedures, and business continuity efforts.\nCoordinate regular safety inspections and ensure corrective actions are completed.\nSupport compliance with OSHA regulations, company safety standards, and customer requirements.\nMaintain emergency equipment, first aid supplies, and facility safety documentation.\nParticipate in incident investigations and track corrective action plans.\nAdministrative Support\nMaintain facility and security records, reports, and documentation.\nPrepare reports on facility performance, security incidents, and maintenance activities.\nAssist with onboarding and offboarding activities related to facility access and security credentials.\nSupport audits, inspections, and compliance reviews.\nServe as a liaison between employees, management, vendors, and security providers.\nWhat You'll Bring\nRequired Qualifications\nAssociate degree in Facilities Management, Business Administration, Criminal Justice, Safety Management, or a related field; equivalent experience may be considered.\n3+ years of experience in facilities coordination, security administration, property management, or a related role.\nExperience managing vendors, maintenance activities, or security systems.\nProficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and Teams.\nStrong organizational, communication, and problem-solving skills.\nAbility to maintain confidentiality and handle sensitive information appropriately.\nPreferred Qualifications\nExperience in construction, utility, energy, or industrial environments.\nKnowledge of access control systems, CCTV platforms, and security monitoring systems.\nFamiliarity with OSHA requirements and workplace safety programs.\nFacilities Management, Security Management, or Safety-related certifications (e.g., IFMA, ASIS, OSHA 30).\nKey Competencies\nAttention to Detail\nCustomer Service Orientation\nVendor and Contractor Management\nRisk Assessment\nRegulatory Compliance\nCommunication Skills\nTime Management\nCritical Thinking\nTeam Collaboration\nEmergency Response Coordination\nPhysical Requirements\nAbility to walk facilities and construction sites for extended periods.\nOccasional lifting of up to 25 pounds.\nAbility to respond to facility and security issues outside normal business hours when necessary.\nOccasional travel between company locations may be required.\nWork Environment\nThis position operates in a professional office environment with periodic visits to warehouses, operations facilities, and field locations supporting Quanta Power Solutions' utility and infrastructure operations.
