Our culture is about supporting an environment where all employees can be themselves, are valued, and have an equal opportunity to succeed.\nAbout this Role\nThe Proposal Coordinator supports the Estimating department throughout the lifecycle of a bid proposal across multiple opportunities, working as a collaborative team member. This role entails coordinating proposal activities and managing tasks within the proposal process.\nWhat You'll Do\nPOSITION FUNCTIONS\nEnter and maintain accurate bid data in the company's software systems, including updates to changes, statuses, and relevant details.\nManage and monitor the company’s procurement sites used by customers.\nServe as the central point of contact for bid activities, facilitating clear and effective communication among team members.\nCollaborate with subject matter experts and cross-functional teams including estimating, program management, and marketing to develop and refine bid deliverables.\nReview all proposals to ensure compliance with client requirements, performing final checks for accuracy, grammar, and completeness before submission.\nManage and organize bid files, ensuring proper documentation and accessibility.\nComplete prequalification packages by gathering and coordinating necessary information from various sources including, but not limited to customer references, safety stats, job history, resumes, etc.\nOrder and coordinate certificate of insurance, bonds, and other required documents.\nSubmit contracts and associated documents to the Legal department for evaluation and approval.\nMonitor and assist with all bid-related documentation to ensure alignment with client specifications.\nParticipate in estimating meetings, document key discussions, and prepare detailed meeting minutes.\nPrepare and manage mailings.\nOther duties as assigned.\nWhat You'll Bring\nEDUCATION AND EXPERIENCE REQUIREMENTS\nBachelor’s degree in Business, Marketing, or related field. \n2+ years of experience supporting bid and proposal development or similar roles. \nKNOWLEDGE, SKILLS, AND ABILITIES\nExcellent attention to detail.\nStrong organizational skills and attention to detail.\nExcellent written and verbal communication skills.\nExcellent interpersonal and customer service skills.\nAbility to manage multiple priorities with excellent time management with proven ability to meet deadlines.\nAbility to deal with a diverse group of all levels of management both internally and externally\nAbility to maintain confidentiality.\nStrong skills in Windows-based office software and the aptitude to learn new computer systems.\nWORKING CONDITIONS:\nNOTE: This job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee.
