This position serves as a central coordination point between internal stakeholders, Facilities personnel, vendors, contractors, and service providers to ensure facility-related work is properly scheduled, communicated, documented, tracked, and completed.\nThe Facility Operations Coordinator is responsible for coordinating vendor and contractor activities, administering work orders, scheduling preventive maintenance (PM) and calibration activities, coordinating Facilities procurement requirements and service contracts, Statements of Work (SOWs), tracking Facilities expenditures and commitments, supporting facility projects, and assisting with QuEra’s Corporate Environmental, Health & Safety (EH&S) programs. \nSuccess in this role requires strong organizational skills, attention to detail, proactive communication, and the ability to manage multiple priorities and stakeholders in a fast-paced technical environment. The ideal candidate is a strong communicator who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes ownership of driving activities through completion.\nFacilities Operations\nCoordinate facility service requests, maintenance activities, and contractor work.\nManage and track work orders through CMMS or similar systems.\nCommunicate maintenance schedules, service interruptions, and project activities to stakeholders.\nMonitor open items and ensure timely resolution and documentation.\nPreventive Maintenance & Asset Support\nCoordinate preventive maintenance, inspections, certifications, and calibration activities.\nMaintain maintenance schedules, service records, and compliance documentation.\nTrack deficiencies and help coordinate corrective actions.\nVendor & Contractor Coordination\nServe as the primary point of contact for facility vendors and contractors.\nSchedule service visits, repairs, inspections, and recurring maintenance activities.\nCoordinate site access, work schedules, and required communication.\nMonitor performance and escalate service, quality, safety, or scheduling concerns as needed.\nProcurement & Financial Administration\nSupport procurement activities including quotes, proposals, purchase orders, contracts, and Statements of Work (SOWs).\nTrack facility expenditures, commitments, invoices, and project costs.\nAssist with budget reporting, forecasting, and financial recordkeeping.\nProject Support\nCoordinate facility improvement, infrastructure, renovation, and construction projects.\nMaintain project schedules, action-item logs, documentation, and cost trackers.\nSupport project meetings, contractor logistics, and closeout activities.\nEH&S and Compliance Support\nAssist with Environmental, Health & Safety (EH&S) programs, inspections, and documentation.\nCoordinate corrective actions and follow-up activities.\nSupport waste management services and associated recordkeeping.\nEscalate safety or compliance concerns promptly.\nRequired Qualifications\n3+ years of experience in Facilities, Maintenance, Property Operations, Project Coordination, or a related operational role.\nExperience coordinating vendors, contractors, and internal stakeholders.\nExperience with computerized maintenance-management or work-order systems. \n\nStrong organizational, communication, and multitasking skills.\nProven ability to manage priorities and follow activities through completion.\nExperience supporting purchasing, invoicing, purchase orders, contracts, or SOW administration.\nProficiency with Microsoft Office and collaboration tools.\nPreferred Qualifications\nExperience preparing or working under MOPs, SOPs, EOPs, permits, or formal change-control procedures.\n\nExperience supporting scientific laboratories, semiconductor facilities, cleanrooms, advanced manufacturing, or high-performance computing environments.\n\nFamiliarity with preventive maintenance, calibration, or inspection programs.\n\nExperience supporting construction, infrastructure, or facility projects.\nKnowledge of EH&S programs and workplace safety requirements.\nExperience with budget tracking and financial reporting.\nExperience working in laboratory, R&D, manufacturing, data center, or other technical environments.\n\nWe consistently monitor external market data and update base salary ranges accordingly.
