Job Purpose\n\nThe Cashier will manage patient billing and payment transactions accurately, efficiently and professionally. The successful candidate will bill insured and cash-paying patients through the Hospital Management System (HMS), reconcile daily sales records and ensure that all financial transactions are properly documented.\n\nThe role requires a dependable individual with strong numeracy skills, attention to detail, basic computer proficiency and a commitment to delivering excellent customer service. The Cashier will help create a smooth and welcoming payment experience while maintaining the highest standards of honesty, confidentiality and accountability.\n\n3. Key Responsibilities\n\nPatient Billing and Payment Processing\n\nBill insured and cash-paying patients accurately through the Hospital Management System.\n\nVerify patient details, billing information and applicable charges before processing payments.\n\nReceive and process cash and other authorised payment methods in accordance with clinic procedures.\n\nIssue receipts and maintain accurate records of all payment transactions.\n\nEnsure that patient bills reflect the correct services and charges.\n\nAddress routine billing enquiries professionally and refer complex issues to the appropriate department.\n\nFollow established procedures for insurance billing and payment documentation.\n\nProtect patient information and maintain confidentiality when handling billing records.\n\nDaily Sales Reconciliation and Reporting\n\nPrepare the daily sales tally sheet and reconcile it against records in the Hospital Management System.\n\nVerify daily collections and identify discrepancies between recorded transactions and actual payments received.\n\nReport discrepancies, billing errors or irregularities promptly to the appropriate supervisor.\n\nMaintain accurate and organised records of daily collections, receipts and payment transactions.\n\nPrepare daily cashier reports and submit them to the designated supervisor within the required timelines.\n\nSupport the preparation of financial summaries and other billing reports as required.\n\nFollow established cash-handling, reconciliation and internal control procedures.\n\nCustomer Service and Patient Support\n\nWelcome patients warmly and provide courteous, respectful and professional service.\n\nExplain billing procedures and payment requirements clearly to patients and their representatives.\n\nRespond promptly to billing enquiries and help patients navigate the payment process.\n\nHandle patient concerns calmly and refer unresolved issues to the appropriate personnel.\n\nMaintain a professional and approachable manner, particularly when assisting patients who require additional support.\n\nWork collaboratively with reception, medical records, insurance and clinical teams to facilitate efficient patient service.\n\nCompliance and Financial Accountability\n\nFollow the clinic’s financial policies, billing procedures and cash-handling guidelines.\n\nMaintain honesty, integrity and accountability in all financial transactions.\n\nSafeguard cash, receipts, billing documents and other financial records under the Cashier’s responsibility.\n\nPrevent errors by verifying transaction details and maintaining accurate documentation.\n\nReport suspected fraud, irregularities or unauthorised transactions through the appropriate channels.\n\nComply with applicable data protection requirements and clinic confidentiality policies.\n\nMaintain an orderly workstation and support a clean, organised and professional reception environment.\n\n4.
