Position Overview:

Do you take pride in keeping things organized and creating a seamless experience behind the scenes? The Administrative Coordinatorrole is primarily focused on administration and operations and plays an important part in ensuring that the client experience is supported by accurate, efficient and well-organized processes.

As an Administrative Coordinator at Raffi Jewellers, you will:

Administrative & Operational Support

• Provide administrative support to boutique management and the sales team.
• Maintain accurate client, sales and operational records.
• Prepare reports, correspondence and other administrative documentation.
• Coordinate appointments, schedules, meetings and internal communications.
• Maintain organized files and ensure documentation is complete and up to date.
• Assist with inventory-related administration and documentation.
• Monitor office and boutique supplies and coordinate replenishment as required.
• Support daily boutique opening and closing administrative procedures.

Service Workshop & After-Sales Administration

• Assist with the intake and documentation of watches requiring service.
• Maintain accurate records of service appointments, client information and service documentation.
• Coordinate information between clients, the service workshop and boutique team.
• Assist with service follow-ups and administrative requirements.
• Ensure client documentation is handled accurately and confidentially.

Client Experience Support

• Support the Sales and Hospitality teams with appointments and special client requests.
• Assist with private appointments, events and client activities.
• Work closely with the Hospitality team to ensure operational and administrative requirements are addressed.
• Help ensure that administrative processes are seamless and do not detract from the client experience.

This is not an exhaustive list of tasks but reflects the core responsibilities of the role. Additional duties and responsibilities may be assigned based on the needs of the boutique and the business.

Qualifications:

• Previous experience in luxury retail, hospitality, administration or a similar high-service environment.
• Excellent organizational and time-management skills.
• Strong attention to detail and accuracy.
• Excellent written and verbal communication skills.
• Professional and polished interpersonal skills.
• Strong computer skills and familiarity with Microsoft Office.
• Ability to manage multiple priorities and meet deadlines.
• Ability to handle confidential information with discretion.
• A proactive approach and strong follow-through.
• Experience in luxury watches, jewellery or premium retail is an asset.

• Qualified candidates must be legally entitled to work in Canada.

Expected Base Salary Range:

$55,000 - $65,000 annually
