You prepare quotations, process orders in SAP, monitor delivery progress, maintain accurate communication with customers, and support the organization in maintaining appropriate spare parts stock levels.\nIn this role, you work closely with customers as well as internal teams such as Service, Engineering, Logistics, and Customer Service. You report directly to the Service Support Manager.\nYour responsibilities\nSpare parts quotations and order management\nTake full responsibility for processing spare parts orders from customer request through to shipment.\n\nPrepare and issue spare parts quotations accurately and within the agreed timelines.\n\nConvert customer purchase orders into SAP and create order confirmations.\n\nPrepare completed orders for invoicing.\n\nReview and adjust pricing in line with Ranpak Automation policies.\n\nProactively follow up on outstanding quotations and customer orders.\n\nCustomer communication\nAct as a direct point of contact for customers regarding spare parts requests and orders.\n\nProvide timely acknowledgements when customer inquiries and orders are received.\n\nKeep customers informed about order status, expected delivery dates, changes, and delays.\n\nEnsure all communication is clear, accurate, professional, and customer focused.\n\nTake ownership of the shared spare parts inbox and ensure incoming requests are handled in a timely manner.\n\nTechnical and operational support\nReview customer requirements and identify the correct spare parts based on available technical information.\n\nRead and interpret 2D and 3D technical drawings when required.\n\nCoordinate with Engineering when spare parts are not yet available or created in the ERP system.\n\nSupport the assessment of warranty requests together with Field Service and/or Management.\n\nProvide customers with technical guidance related to spare parts where needed.\n\nStock and delivery management\nMonitor spare parts availability and minimum stock levels based on projected demand and annual sales.\n\nIdentify expected shortages and take appropriate action.\n\nReport stock discrepancies to Logistics and support inventory accuracy.\n\nEnsure spare parts deliveries meet agreed lead times and commercial requirements.\n\nProvide complete and accurate order information for handover to the Customer Service and Logistics teams.\n\nReporting and process improvement\nPrepare weekly overviews of open quotations and orders, including order value, shipment status, delays, and relevant KPIs.\n\nContribute to efficient and standardized spare parts processes.\n\nIdentify opportunities to improve workflows, customer service, and operational efficiency.\n\nActively contribute to a professional, efficient, and profitable EMEA Service organization.\n\nQualifications\nMBO Level 4 or equivalent, preferably in Mechanical Engineering, Mechatronics, or another technical discipline.\n\nTechnical background or strong technical affinity.\n\nAbility to read and understand 2D and 3D technical drawings.\n\nExperience in selling, processing, or supporting technical spare parts is preferred.\n\nStrong administrative skills and attention to detail.\n\nCustomer-oriented and service-minded approach.\n\nStrong communication skills with the ability to communicate clearly, directly, and professionally with customers.\n\nProcess-driven mindset with an interest in improving existing workflows.\n\nAbility to work independently while contributing effectively within a team.\n\nFull-time availability.\n\nGood command of Dutch and English; additional languages are an advantage.\n\nExperience with Microsoft Office and SAP or a comparable ERP system.\n\nWhat we offer you\nRanpak gives you space to grow and perform\n\nA competitive salary based on relevant professional experience\n\nAn informal and results-oriented working environment\n\nBroad learning and development opportunities within Ranpak\n\nThe opportunity to contribute directly to the further development of the EMEA Service organization\n\nCompany laptop\n\nTravel expense allowance\n\nRanpak is an equal opportunity employer and is committed to providing a workplace free from harassment and discrimination.
