The role combines front desk administration with customer service responsibilities to ensure a professional, welcoming, and positive experience for everyone interacting with the company\nThe successful candidate will be responsible for managing front desk operations, handling telephone calls and enquiries, attending to visitors, responding to customer concerns, directing communications appropriately, and providing general administrative support to ensure the smooth running of the office.\nThe ideal candidate should have a background in customer care, with excellent communication, interpersonal, and problem-solving skills. The individual must be courteous, organized, proactive, and professional, with the ability to manage multiple responsibilities while maintaining a positive image of the company.\nKey Responsibilities\nFront Desk and Reception Management:\nServe as the first point of contact for visitors, clients, vendors, business partners, and other stakeholders.\nWelcome visitors professionally and courteously, ensuring they receive appropriate assistance.\nAttend to visitors, establish the purpose of their visit, and direct them to the appropriate department or personnel.\nManage visitor registration and maintain accurate records of visitors entering and leaving the office.\nReceive, screen, and direct incoming telephone calls to the appropriate staff members.\nTake accurate messages when relevant personnel are unavailable and ensure messages are delivered promptly.\nMaintain a clean, organized, and presentable reception area at all times.\nMonitor appointments and notify relevant staff when their visitors arrive.\nEnsure visitors follow the company's reception and access procedures.\nHandle routine front desk enquiries and provide accurate information about the company within the limits of the role.\nCustomer Service and Client Relations:\nProvide excellent customer service to clients, visitors, and other stakeholders through telephone, email, and face-to-face interactions.\nRespond to customer enquiries professionally, accurately, and promptly.\nListen to customer complaints, concerns, and feedback, ensuring they are handled courteously and referred to the appropriate personnel when necessary.\nFollow up on customer enquiries and unresolved issues to ensure timely responses and satisfactory service delivery.\nMaintain a customer-focused approach when interacting with clients and other stakeholders.\nProvide relevant information about the company's products, services, and operations within the scope of approved company information.\nIdentify customer needs and direct enquiries to the appropriate department for further assistance.\nMaintain positive relationships with clients and contribute to customer satisfaction and retention.\nHandle
