Regeneron Japan (Regeneron Japan KK) is the Japanese subsidiary of Regeneron Pharmaceuticals, a science-driven biotechnology company that invents, develops, and commercializes life-transforming medicines for serious diseases. Headquartered in Tokyo, Japan, with its global corporate headquarters located in Tarrytown, New York, the organization manages clinical trial programs, regulatory affairs, and commercial operations throughout the Japanese market. Leveraging proprietary antibody discovery and genetic research platforms, it focuses on delivering targeted treatments across therapeutic areas such as oncology, immunology, ophthalmology, and rare genetic disorders.

Summary: The Project Specialist supports the planning, coordination, and execution of initiatives across the Industrial Operations and Product Supply (IOPS) organization. Operating within the IOPS Project Management Office (PMO), the Project Specialist applies the standardized PMO methodology, tools, and templates to maintain the artifacts and reporting on which delivery decisions depend, and escalates constraints and emerging risks. The track is the primary development path into the Project Manager role.

Essential Duties and Responsibilities may include, but are not limited to, the following:

Project Delivery & Execution

  • Maintains project schedules and RAID logs in the PMO’s standard tools and updates status on the published reporting cadence.
  • Applies the standardized PMO project lifecycle and templates, including the quality, documentation, and change-control requirements of a GMP-regulated environment.
  • Tracks scope, schedule, and budget against the approved baseline and flags variances; does not approve baseline changes.
  • Coordinates meeting logistics, agendas, minutes, and action-item follow-through, and escalates slippage and unresolved constraints rather than absorbing them.

Governance, Portfolio & Reporting

  • Compiles project and portfolio status reporting from source data and prepares it for PMO and leadership review.
  • Maintains the accuracy and currency of project records in the PMO’s portfolio management tools and calculates and tracks defined key performance indicators.
  • Administers PMO governance mechanics, including stage-gate documentation, decision logs, distribution, and version control.

Stakeholder Coordination & Communication

  • Coordinates communication across functional areas to keep participants informed of status, decisions, and required actions.
  • Drafts communication and organizational change-management content for PMO review.
  • Builds working relationships across IOPS functions and follows through on commitments without direct authority; surfaces ambiguity, competing priorities, and stakeholder conflict to the Project Manager with a recommended path forward.

Education and Experience:

  • Assoc Project Specialist: Requires a BS/BA in business, physical/biological science or related field, and 2 years of relevant experience, or an equivalent combination of education and experience.
  • Project Specialist: Requires a BS/BA in business, physical/biological science or related field, and 2-4 years of relevant experience, or an equivalent combination of education and experience.
  • Sr Project Specialist: Requires a BS/BA in business, physical/biological science or related field, and 4-7 years of relevant experience, or an equivalent combination of education and experience.
  • CAPM certification preferred.

Knowledge, Skills, and Abilities:

  • Working knowledge of project management fundamentals - scope, schedule, risk, and stakeholder management - and the ability to apply PMO templates accurately and consistently.
  • Analytical capability to compile, validate, and summarize project and process data, with proficiency in project management tools; familiarity with GMP operations and change control preferred.
  • Clear written and verbal communication, including preparing materials for senior audiences with review.
  • Highly organized, able to manage concurrent assignments and build cross-functional relationships without direct authority.
