Operating within the IOPS Project Management Office (PMO), the Project Specialist applies the standardized PMO methodology, tools, and templates to maintain the artifacts and reporting on which delivery decisions depend, and escalates constraints and emerging risks. The track is the primary development path into the Project Manager role.\nEssential Duties and Responsibilities may include, but are not limited to, the following:\nProject Delivery & Execution\nMaintains project schedules and RAID logs in the PMO’s standard tools and updates status on the published reporting cadence.\nApplies the standardized PMO project lifecycle and templates, including the quality, documentation, and change-control requirements of a GMP-regulated environment.\nTracks scope, schedule, and budget against the approved baseline and flags variances; does not approve baseline changes.\nCoordinates meeting logistics, agendas, minutes, and action-item follow-through, and escalates slippage and unresolved constraints rather than absorbing them.\nGovernance, Portfolio & Reporting\nCompiles project and portfolio status reporting from source data and prepares it for PMO and leadership review.\nMaintains the accuracy and currency of project records in the PMO’s portfolio management tools and calculates and tracks defined key performance indicators.\nAdministers PMO governance mechanics, including stage-gate documentation, decision logs, distribution, and version control.\nStakeholder Coordination & Communication\nCoordinates communication across functional areas to keep participants informed of status, decisions, and required actions.\nDrafts communication and organizational change-management content for PMO review.\nBuilds working relationships across IOPS functions and follows through on commitments without direct authority; surfaces ambiguity, competing priorities, and stakeholder conflict to the Project Manager with a recommended path forward.\nEducation and Experience:\nAssoc Project Specialist: Requires a BS/BA in business, physical/biological science or related field, and 2 years of relevant experience, or an equivalent combination of education and experience.\nProject Specialist: Requires a BS/BA in business, physical/biological science or related field, and 2-4 years of relevant experience, or an equivalent combination of education and experience.\nSr Project Specialist: Requires a BS/BA in business, physical/biological science or related field, and 4-7 years of relevant experience, or an equivalent combination of education and experience.\nCAPM certification preferred.\nKnowledge, Skills, and Abilities:\nWorking knowledge of project management fundamentals - scope, schedule, risk, and stakeholder management - and the ability to apply PMO templates accurately and consistently.\nAnalytical capability to compile, validate, and summarize project and process data, with proficiency in project management tools; familiarity with GMP operations and change control preferred.\nClear written and verbal communication, including preparing materials for senior audiences with review.\nHighly organized, able to manage concurrent assignments and build cross-functional relationships without direct authority.\nDoes this sound like you?
