This role owns the day-to-day administration of their safety, insurance, and risk program: the written safety program and training for their W-2 workforce, OSHA 300, 300A, and 301 recordkeeping, employee incident investigation, workers’ compensation claims support, and the certificate of insurance and subcontract documentation program that covers the independent subcontractors who perform all installation work.\nRead this part carefully, because it defines the job and it is unusual. All installation work is performed by independent subcontractors, not employees. That makes this an administrative and program-based role with no site visits and no field supervision, and it puts a hard line down the middle of the work. Employee safety training, policy, and communication on one side. Subcontractor contract and insurance administration on the other. You would never issue training, equipment, PPE, work direction, or corrective discipline to subcontractor personnel, and part of the job is flagging any proposed practice that would, and escalating it to the Vice President of Compliance & Safety. If you have spent your career as a hands-on field safety professional, your best instincts will pull you across that line. The person who succeeds here is the one who can feel that pull and hold the line anyway.\nThe other half of the role is genuinely technical. You would administer the OSHA 300 Log and the 300A annual summary, including posting and electronic submission where applicable, track federal and state plan requirements across the operating states, run workers’ compensation claim intake and carrier coordination alongside Finance, administer fleet and driver safety records, and keep a centralized, audit-ready documentation system that can be handed to an OSHA inspector, an insurance auditor, or a customer prequalification request without a scramble. This is a full-time remote role on US Eastern business hours, reporting to the Vice President of Compliance & Safety, with a minimum of three years in safety, risk, or compliance administration.\nKey Responsibilities\nEmployee Safety Program\nDevelop, maintain, and update the written safety program for the company’s W-2 population, including outside sales employees, operations, canvassers, and office staff\nBuild and deliver remote safety training for employees, with particular attention to outside sales employees, canvassers, and other W-2 roles that operate at an operational level\nDevelop and maintain training and guidelines on ladder safety, roof access and fall hazards during sales inspections and measurements\nMaintain emergency action plans, hazard communication, and heat illness materials for applicable locations and states\nManage training assignments, completion tracking, and recertification schedules\nConduct incident investigations for employee incidents, including root cause analysis, corrective action assignment, and closure verification\nOSHA Recordkeeping and Reporting\nAdminister OSHA 300, 300A, and 301 recordkeeping for employees, including the annual posting and electronic submission where applicable\nApply the recording criteria correctly so that recordable cases are recorded and non-recordable cases are not\nTrack and interpret federal OSHA and state plan requirements across the operating states, including Michigan, and update internal standards accordingly\nPrepare records for OSHA inspections and maintain retention schedules\nSubcontractor Contract and Insurance Administration\nAdminister the certificate of insurance program, including general liability, workers’ compensation and auto coverage verification, additional insured and waiver of subrogation endorsements, and expiration tracking\nMaintain subcontractor documentation files, including licensing, W-9s, executed subcontract agreements, and required insurance\nMaintain and update safety- and insurance-related contract language in subcontract agreements, so that obligations are established contractually\nVerify that documentation is complete and current before a subcontractor is approved for work, and escalate lapses\nMaintain records sufficient to demonstrate that subcontractor safety obligations are contractual and that the company does not direct or train subcontractor personnel\nWorkers’ Compensation, Insurance, and Risk\nAdminister the workers’ compensation program in partnership with Finance, including claim intake, carrier coordination, return-to-work tracking, reserve review, and experience modification monitoring\nSupport general liability and auto claims documentation and carrier reporting\nCoordinate with brokers on renewals, premium audits, and loss control recommendations\nAdminister fleet and driver safety, including motor vehicle record review protocols, driver qualification files and accident reporting for company drivers\nClassification Guardrails\nUnderstand the legal distinction between W-2 employees and 1099 independent contractors, and keep all safety processes consistent with that distinction\nKeep employee safety training, policy, and communication materials separate from subcontractor contracts and insurance administration\nNever issue training, equipment, PPE, work direction, or corrective discipline to subcontractor personnel\nFlag any proposed practice that would extend company direction or training to subcontractors, and escalate it to the Vice President of Compliance & Safety\nRecordkeeping and Reporting\nMaintain a centralized, audit-ready documentation system covering employee training, incidents, corrective actions, claims, and subcontractor insurance and contract files\nManage retention schedules and prepare records for insurance audits, customer prequalification, and litigation holds\nProduce leadership reporting on incidents, claims, insurance compliance, and program gaps\nRequirements\nMinimum three years in safety, risk or compliance administration\nWorking knowledge of OSHA and state plan variations\nDemonstrated experience with OSHA recordkeeping and reporting obligations\nExperience administering workers’ compensation claims and working with carriers and brokers\nExperience with certificate of insurance management and contractor documentation compliance\nUnderstanding of the distinction between W-2 and 1099 engagements and the ability to operate within it\nStrong policy drafting and written communication skills\nProven ability to work fully remote across multiple states with minimal supervision\nAvailability on US Eastern business hours, which is an overnight schedule in the Philippines\nPreferred Qualifications\nConstruction, roofing, restoration, or trades industry background\nExperience in an organization that used independent contractors, where company training and direction had to be kept separate from them\nExperience building remote training for a distributed, non-desk workforce\nExperience with fleet and driver safety administration: motor vehicle record review, driver qualification files, accident reporting\nExposure to a state plan jurisdiction rather than federal OSHA alone\nExperience preparing records for an OSHA inspection, an insurance audit or a customer prequalification\nTools & Software\nOSHA recordkeeping forms and the Injury Tracking Application for electronic submission where applicable (primary regulatory surface)\nSpreadsheets-expiry tracking, training completion, claims and loss reporting, leadership dashboards\nDocument management systems-the centralized, audit-ready file system covering training, incidents, claims, and subcontractor insurance and contract files\nLearning or training assignment platforms and remote delivery tools for live training sessions\nE-signature platforms for subcontract agreements and acknowledgements\nMicrosoft Teams and OneDrive-communication and file sharing with Remote Raven\nWhat Makes You a Great Fit\nYou can say out loud, without looking it up, why one injury goes on the 300 Log and a similar-looking one does not\nYou know that a certificate arriving is not a requirement met, and you check coverage, limits, additional insured, and waiver of subrogation against what the subcontract actually requires\nYou understand why a company that uses independent contractors has to establish safety obligations contractually rather than by training them, and you can hold that line when someone well-meaning asks you to cross it\nWhen an incident comes in, you open the file and route it the same day rather than waiting until the picture is complete\nYou write policy that people can actually follow, and your written English goes to a broker, a carrier or an executive without anyone editing it\nAudit-ready means audit-ready to you: you could hand over training, incident, claim and subcontractor files tomorrow without a scramble\nYou want program administration, not field safety work, and you are clear-eyed that this role never leaves the desk\nBenefits\nWhat We Offer\nUp to $9/hour\n100% remote work\nFull-time role\nWe hire for the long haul, so a steady track record of staying and growing always moves you up our list.\nTo apply:\nEnsure your LinkedIn profile and resume
