In this on-site role, you will report directly to the Studio Director. You will be the operational hub and community connector for our development team, supporting studio operations, team administration, and game production workflows.\nBecause game development moves across distinct project stages, you will collaborate with teams across multiple studio projects and daily operations.\nWhat You'll Do\nA. Shipping, Logistics & Swag Distribution\nShipping & Courier Operations: Coordinate domestic and international shipments (FedEx, DHL, UPS, or local couriers). Prepare commercial invoices, handle customs clearance documentation, and track shipments such as development kits and game assets.\n\nGame Swag & Merchandise Management: Manage the sourcing, inventory, packing, and distribution of official game merchandise, milestone gifts, launch kits, and studio apparel for our teams and external partners.\n\nMail & Package Intake: Coordinate incoming and outgoing deliveries for the team, logging packages and routing production equipment to the appropriate groups.\n\nB. Event Planning & Studio Culture\nTeam & Studio Events: Plan, budget, and organize internal events, team-building activities, and milestone celebrations that build a welcoming team environment.\n\nMeeting Logistics & Catering: Help organize recurring all-hands meetings, town halls, and partner visits. Coordinate lunch catering, dietary preferences, and room bookings.\n\nTeam Culture: Partner with Workplace Experience on studio-branding projects, anniversary recognitions, and health and wellness events.\n\nC. Procurement & Expense Coordination\nVendor Coordination: Communicate with, and maintain relationships with external suppliers (printers, merchandise manufacturers, caterers, and venues).\n\nPurchasing & Invoicing: Create Purchase Orders (POs), track statements of work, process invoices, and assist with vendor setup in EA financial systems.\n\nCorporate Card & Expense Reconciliation: Reconcile team expenses, review and submit corporate travel expenses, and process monthly corporate card statements. Guide team members on expense tools and company policies.\n\nSupply Inventory: Maintain inventory levels for team supplies, snacks, peripherals, and event materials, restocking items.\n\nD. Production Coordination & Team Support\nMeeting Facilitation & Notes: Schedule meetings, set up conference room technology, capture clear meeting notes, and track follow-up items.\n\nTravel, Itineraries & Visas: Support production leadership with coordinating travel itineraries, booking travel arrangements, preparing travel letters, and handling visa coordination.\n\nDocumentation & Knowledge Sharing: Maintain studio guides, team FAQs, distribution lists, and team collaboration platforms.\n\nIT Escalation & Support: Help team members submit or follow up on IT and Facilities service desk tickets to keep equipment setup running smoothly.\n\nWhat You'll Bring\nExperience: Background in an administrative, coordinator, or operations role within a creative or technical environment such as gaming, entertainment, or technology.\n\nOn-Site Presence: Ability to work a 20-hour week on site in Madrid to manage physical logistics, workspace experience, and office operations.\n\nTechnical Skills: Familiarity with Outlook and Google Workspace (schedule management, document collaboration, note-taking).\n\nRole Flexibility: Comfort working across varied project needs as studio development progresses.\n\nLogistics & Expense Coordination: 1+ years of experience organizing team events, handling international courier shipping and customs documentation, and tracking basic expenses.\n\nBilingual Collaboration: Professional fluency in Spanish and English to coordinate with local vendors and global teams, including writing clear emails and facilitating meetings.\n\nOrganization & Information Care: Focus on accuracy, capability in organizing tasks, managing schedules, and a commitment to handling confidential studio information with care.\n\nAbout Electronic Arts\nWe’re proud to have an extensive portfolio of games and experiences, locations around the world, and opportunities across EA.
