About the Role

We are looking for a highly organised, detail-oriented, and tech-savvy Patient Coordinator Team Lead to support healthcare operations in a fast-paced, fully remote environment.

This role is ideal for someone with strong administrative and coordination skills who enjoys managing multiple priorities, communicating with patients and healthcare providers, and ensuring that daily workflows run smoothly. The successful candidate will help oversee patient coordination activities, maintain accurate records, support scheduling and intake processes, and ensure outstanding documentation and follow-ups are completed on time.

As a Team Lead, you will also help support efficient team operations, maintain high standards of accuracy and professionalism, and contribute to an organised and patient-focused working environment.

We are looking for someone who is comfortable working across multiple systems, quick to learn new software, and confident using technology to manage administrative processes efficiently.

Requirements

Key Responsibilities

  • Coordinate day-to-day patient administration and healthcare operational workflows.
  • Support and oversee patient coordination activities, ensuring tasks are completed accurately and on time.
  • Communicate professionally with patients, healthcare providers, and internal teams.
  • Assist with patient intake, appointment scheduling, and follow-up activities.
  • Maintain accurate patient records, documentation, and scheduling information.
  • Track outstanding documentation and follow up to ensure all required information is received within the appropriate timeframes.
  • Monitor workflow progress and help ensure that administrative tasks are prioritised effectively.
  • Support team members with daily coordination tasks and help maintain consistent processes.
  • Assist with reporting, recordkeeping, and other healthcare administrative requirements.
  • Identify workflow challenges and help ensure that processes remain organised and efficient.
  • Maintain strict confidentiality when handling patient information and sensitive records.
  • Collaborate with internal teams to support smooth communication and operational efficiency.
  • Perform additional administrative and coordination duties as required.

Requirements

  • Previous experience in patient coordination, healthcare administration, medical reception, scheduling, intake coordination, or a similar role is preferred.
  • Previous team leadership or supervisory experience is an advantage.
  • Strong written and verbal communication skills.
  • Excellent organisational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail, particularly when handling records, documentation, and scheduling.
  • A proactive approach to follow-ups, problem-solving, and task management.
  • Ability to work independently and collaborate effectively within a remote team.
  • A professional, patient-focused approach when communicating with patients and healthcare providers.
  • Ability to manage confidential information responsibly.

Technical Skills & Software

Being comfortable with technology is essential for this role. We are looking for someone who can quickly adapt to new platforms and manage tasks across multiple systems.

Confident using computers and navigating multiple software applications simultaneously.

Ability to learn new software, systems, and digital workflows quickly.

Experience with Microsoft Teams or similar communication and collaboration platforms is preferred.

Experience with medical software, electronic health records (EHRs), scheduling systems, or patient management platforms is an advantage.

Comfortable using digital documentation tools, spreadsheets, and online administrative systems.

Strong general computer literacy and the ability to troubleshoot basic technical issues.

What We're Looking For

The ideal candidate is organised, dependable, and proactive, with a strong sense of ownership over their work. They should be comfortable balancing patient communication, administrative responsibilities, scheduling, and team coordination without losing sight of the details.

Most importantly, we are looking for someone who is tech-savvy, adaptable, and confident working across multiple systems. Someone who can pick up new tools quickly, keep workflows moving, follow through on outstanding tasks, and help create a smooth and professional experience for both patients and the wider healthcare team.

If you enjoy healthcare administration, supporting people, and keeping operations running efficiently, we'd love to hear from you!
