Candidate Pipeline Management\nManage and monitor candidates throughout the recruitment pipeline, ensuring each candidate progresses through the appropriate stages.\nMaintain accurate, up-to-date candidate profiles, contact details, notes and status updates in Salesforce.\nMonitor candidate progress and identify outstanding actions, delays or bottlenecks.\nFollow up with candidates and relevant stakeholders to keep recruitment processes moving.\nEnsure candidate records and pipeline information are organised, complete and reliable.\n2. Recruitment Coordination and Follow-Up\nCoordinate candidate communication, follow-ups and next steps throughout the recruitment process.\nLiaise with facilities and other relevant stakeholders to obtain updates, confirm information and resolve outstanding items.\nEnsure candidates and stakeholders receive timely, professional communication.\nTrack outstanding actions and follow through until tasks are completed.\nSupport interview coordination and help ensure candidates are ready for the next stage.\n3. Reference Checks and Candidate Verification\nConduct and coordinate candidate reference checks in line with the recruitment process.\nFollow up with referees and relevant contacts to obtain outstanding feedback.\nRecord reference outcomes and supporting information accurately in the appropriate systems.\nEscalate missing information, inconsistencies or concerns to the relevant team member.\n4. Recruitment Systems and Administration\nUse Salesforce and other recruitment systems to manage candidate information, track progress and maintain accurate records.\nEnsure recruitment data is consistently updated and reflects the current status of each candidate.\nSupport the team with recruitment administration, reporting and pipeline maintenance.\nLearn new systems, processes and workflows quickly as the business grows.\n5. Targets, Performance and Team Collaboration\nWork towards agreed recruitment activity, sourcing, follow-up and interview targets.\nMonitor individual progress and outstanding tasks to ensure deadlines and expectations are met.\nParticipate in regular team meetings, check-ins and performance discussions.\nCommunicate progress, challenges and potential bottlenecks proactively.\nCollaborate with recruiters and other team members to achieve shared recruitment goals.\nTake ownership of assigned responsibilities and remain accountable for completing work to a high standard.\nMinimum Requirements\nPrevious experience in recruitment, talent acquisition, recruitment coordination, candidate sourcing or candidate pipeline management.\nExperience managing a high-volume candidate pipeline or coordinating multiple candidates and vacancies simultaneously.\nFamiliarity with ATS, CRM, recruitment or candidate database systems.\nExperience using Salesforce is advantageous; the ability to learn and adapt to new systems quickly is essential.\nStrong computer literacy and confidence working across multiple digital platforms.\nExcellent written and verbal communication skills.\nStrong organisational skills, attention to detail and time-management abilities.\nExcellent follow-up and follow-through skills.\nComfortable working towards structured activity, sourcing and interview targets.\nAble to work independently while collaborating effectively with a wider team.\nReliable, responsive and accountable, with a strong sense of ownership.\nComfortable with regular team communication, performance monitoring and structured oversight.\nResilient and able to perform effectively in a fast-paced, high-volume environment.\nPreferred Personality Traits\nFriendly, personable and confident when communicating with candidates and stakeholders.\nProfessional, well-spoken and well-presented.\nEnergetic, proactive and solutions-oriented.\nHighly organised, consistent and detail-focused.\nPersistent with follow-ups without being pushy or unprofessional.\nComfortable communicating with American clients and stakeholders in a direct, fast-paced and results-focused business environment.\nOpen to feedback, coaching and regular performance discussions.\nA team player who takes initiative and follows through on commitments.\nWhat Success Looks Like\nCandidate pipelines are accurate, organised and consistently maintained.\nCandidates and stakeholders receive timely follow-ups.\nReference checks and outstanding candidate requirements are completed efficiently.\nRecruitment bottlenecks are identified and addressed proactively.\nAgreed sourcing, activity and interview targets are consistently supported.\nThe recruitment team has clear visibility into candidate progress and outstanding actions.\nThe individual demonstrates reliability, responsiveness, accountability and strong ownership of their workload.\nWorking Environment\nThis is a remote position supporting a US-based client.
