The role focuses on accurate recordkeeping, progressing transactions to closure, tracking costs and revenue, supporting invoicing, and reporting on the financial impact of service activities.\nThis is an analytical commercial support role suited to someone who is process-oriented and able to accurately report on commercial information that supports the management team make sound business decisions. The ideal candidate is detail-oriented, numerically literate, and comfortable working with financial records.\nKey Responsibilities\nCommercial and Financial Administration\nAccurately capture and manage all commercial transactions linked to service activities within the ERP system\nProcess purchase orders, quotations, sales orders, invoices, credit notes, and related documentation\nEnsure transactions are correctly coded, authorised, and allocated to the relevant customer, project, department, or cost centre\nMaintain accurate records of costs, revenue, orders, and outstanding transactions\nCheck that supporting documentation is complete and properly recorded\nIdentify, investigate, and escalate discrepancies, missing information, or unusual transactions\nCommercial Administration\nCapture and manage transactions within the ERP system, including: purchase orders, quotations and Sales orders linked to service activities\nEnsure alignment between approved quotations, executed work, and invoicing\nCoordinate with procurement and suppliers regarding parts availability, purchases, replacements, and cost recoveries \n3\nMaintaining accurate cost and revenue tracking for service-related activities\nCollaborate with finance to support invoicing accuracy and resolution of discrepancies\nReporting and Reconciliation Support\nContinuously track and report commercial transactions\nAssist with account reconciliations and validation\nProvide accurate information to management, finance, sales, procurement, and operations teams\nPrepare commercial and financial reports using information from the ERP\nReport on the financial implications of service activities, including costs, revenue, profitability, and potential cost impacts\nStakeholder Communication & Support\nServe as a key point of contact for customer commercial transactions relating to service activities\nLiaise with finance, sales, procurement, operations, suppliers, and customers as required\nFollow up on information, approvals, purchase orders, delivery documentation, and invoice queries\nCommunicate transaction status and outstanding actions clearly and professionally\nEscalate issues promptly when information is incomplete, delayed, or inconsistent\nMaintain professional and accurate written communication\nProcess Improvements\nImprove workflow, reporting, and commercial process efficiencies\nImplement improvements to enhance service delivery and data accuracy\nSupport integration and optimisation of CRM, ERP, and monitoring systems\nContribute to standardising processes and documentation across service operations \nQualifications & Experience\nA Commercial diploma, Data Analytics or B.Com. degree\nA minimum of 2 years’ experience in a commercial, accounting or sales administration or analysis role\nWorking experience of ERP and accounting software packages\nExperience processing or maintaining financial and commercial records\nSound understanding of quotations, purchase orders, sales orders, invoices, and payments\nStrong proficiency in Microsoft Excel and data visualisation tools such as Power BI\nKey Competencies\nStrong analytical and data interpretation skills \nStrong attention to detail and accuracy\nGood numerical literacy and confidence working with figures\nBasic commercial and financial understanding\nGood organisational and recordkeeping skills\nAbility to follow structured processes and deadlines\nComfortable working with ERP, accounting systems and spreadsheet\nClear and professional written and verbal communication\nAbility to manage routine tasks consistently and accurately\nGood follow-up skills\nPractical, dependable, proactive and willing to learn \nPerformance Indicators (KPIs)\nAccuracy of ERP and finance system transactions\nCompleteness and quality of supporting documentation\nTimely processing of commercial and financial administration\nEffective
