The company’s mission is to revolutionize the premium cataract surgery experience by allowing surgeons to partner with their patients to achieve optimized results for every unique eye.\nOVERVIEW:\nThe Payroll Specialist is responsible for the accurate and timely processing of weekly and semi-monthly payroll, payroll tax compliance, and benefit deduction reconciliations. This role supports payroll operations, maintains data integrity within HRIS systems, and collaborates cross-functionally with Human Resources, Finance and Accounting to ensure compliance, accuracy, and strong internal controls. Payroll-related journal entries are prepared and posted by the General Ledger team; this position provides the underlying payroll data, allocations, and reconciliations that support those entries. This position plays a key role in supporting payroll execution while adhering to established review and approval processes.\nThis is an onsite position at our headquarters in Aliso Viejo, CA so candidates must reside in or near this city.\nRequirements\nESSENTIAL DUTIES AND RESPONSIBILITIES:\nPayroll Processing\nProcess accurate and timely weekly and semi-monthly payroll using HRIS/payroll systems.\nReview and validate timecards, PTO requests, and payroll adjustments for completeness and accuracy in a SOX compliant environment\nExecute employee termination payroll processing, including final pay calculations, in accordance with company policy and required approvals.\nMaintain payroll data integrity within HRIS systems, ensuring accurate employee setup, changes, and updates.\nOversee the payroll email inbox, ensuring timely responses, proper delegation, and resolution of inquiries.\nPayroll Tax & Reconciliations\nResearch and resolve federal, state, and local payroll tax notices, including correspondence with tax agencies\nOpen and maintain state withholding, SUI, SDI, and local tax accounts across multiple jurisdictions\nMonitor annual federal and state tax rate changes and compliance requirements, and proactively update payroll systems accordingly\nPerform year-end payroll duties, including W-2 and W-3 review, annual reconciliations, and year-end checklists\nPerform payroll reconciliations, including tax liability, quarter-end, and year-end reconciliations, and reconcile payroll registers against general ledger accounts\nPrepare payroll reports, including headcount reports, tax liability summaries, variance reports, and ad hoc reporting for Finance, HR, and leadership as needed\nSupport payroll-related month-end close by providing the payroll register, departmental allocations, accrual data, and supporting schedules to the General Ledger team.\nSupport internal and external audit requests related to payroll.\nBenefits & Deduction Administration\nReview and reconcile benefit contribution imports, payroll deductions, and carrier invoices to ensure accuracy and data integrity\nIdentify and resolve discrepancies between HRIS, payroll, and benefit carrier systems in a timely manner\nApply pre-tax and post-tax benefit deduction types correctly, including their impact on employee net pay and payroll tax calculations\nCross-Functional Support\nCollaborate with Human Resources, Accounting and Finance to ensure accurate payroll processing and employee data management.\nSupport process improvements and documentation efforts related to payroll operations.\nPartner with the General Ledger team on month-end close by supplying payroll data and reconciling payroll registers and liability accounts to the general ledger.\nEscalate complex payroll issues to management as appropriate.\nREQUIRED KNOWLEDGE, SKILLS AND ABILITIES:\nProficient in multi-state and multi-jurisdiction payroll processing using HRIS systems such as Paylocity, ADP, UKG, Paychex, or similar\nStrong attention to detail with the ability to review and validate timecards, adjustments, and final pay calculations accurately and within tight deadlines\nSolid understanding of SOX compliance, internal controls, and segregation of duties as it relates to payroll operations\nEffective communicator with experience managing payroll inquiries and cross-functional requests in a fast-paced environment\nDemonstrates sound judgment and the ability to connect the dots across payroll, tax, HR, and Finance functions to proactively identify issues and recommend solutions\nCollaborative team player with a positive attitude, openness to change, and a continuous improvement mindset\nSUPERVISORY RESPONSIBILITIES:\nNone\nEDUCATION, EXPERIENCE, and TRAINING:\nMinimum of 3 to 5 years of direct payroll processing experience in a multi-state and multi-jurisdiction environment, including payroll tax notice resolution\nExperience processing multi-cycle payroll (weekly, semi-monthly, or other frequencies) required\nHands-on experience with HRIS and payroll systems required (Paylocity, ADP, UKG, Paychex, or similar; Paycor a plus)\nExperience with general ledger postings, account reconciliations, and supporting Finance with payroll-related journal entries preferred\nExperience working in a SOX-controlled or audit-sensitive environment preferred\nFPC or CPP certification a plus\nTraining to be completed per the training plan for this position as maintained in the document control system\nThe training requirements on TRN-10007 Insider Trading Policy, TRN-10008 Global Anti-Bribery and Anti-Corruption Policy and TRN-10009 Code of Business Conducts and Ethics must be diligently completed within 30 days from the hiring date and on an annual basis.\nCERTIFICATES, LICENSES, REGISTRATIONS:\nFPC or CPP is a plus. \nCOMPUTER SKILLS:\nPost-entry/intermediate level experience with excel (VLOOKUP/XLOOKUP, other formulas). \nNotice to Staffing Agencies and Search Firms:\nRxSight does not accept unsolicited resumes or candidate submissions from staffing agencies or search firms for any employment opportunities.
