We have an in-house Architectural Finishes & Specialty Fabrication Division that ships/installs nationally.\nWe are seeking a highly motivated and creative individual for our Proposal Coordinator position at our Pittsburgh office.\nRycon Construction, Inc. is seeking a highly organized, deadline-driven, and creative Proposal Coordinator to join our Pittsburgh office. This position supports the development of high-quality proposals, qualifications, presentations, bids, and other pursuit materials for Rycon's offices nationwide.\nWorking closely with the Proposal Manager, the Proposal Coordinator will coordinate the proposal process from kickoff through final submission, ensuring requirements are met, deadlines are maintained, information is accurate, and deliverables are visually compelling and consistent with Rycon's brand.\nThis is a fast-paced, deadline-driven position requiring strong organization, attention to detail, creativity, and the ability to manage multiple competing priorities. The successful candidate must be comfortable taking ownership of assigned tasks and consistently meeting firm submission deadlines.\nWhat you will do:\nAssist the Proposal Manager with the coordination, development, assembly, and production of proposals, qualifications, presentations, interview materials, and other pursuit-related deliverables. \nCreate customized, visually compelling proposal and presentation materials, including page layouts, graphics, organizational charts, infographics, tailoring resumes, and other visual content. \nReview RFPs, RFQs, bid invitations, and other solicitation documents to identify submission requirements, required forms, evaluation criteria, deadlines, and responsibilities. \nParticipate in and eventually lead internal proposal kickoff meetings, taking thorough notes, identify required information, assign responsibilities, develop the RFP checklist, and track deliverables through submission. \nOversee assigned proposals and deliverables to completion, proactively following up with team members to obtain required information and maintain established deadlines. \nSupport bid submissions by coordinating the completion of bid forms and other required documentation; obtain required internal approvals, signatures, and notarization. \nMaintain and monitor client and bid portals, including company profile, registrations, required documents, and passwords. \nCoordinate electronic proposal and bid submissions, verifying that all required documents have been completed, signed, uploaded, and submitted in accordance with solicitation requirements. \nCollaborate with executives, operations teams, estimators, business development staff, and any outside consultants to develop accurate, responsive, and compelling pursuit materials. \nGather proposal information through research, meetings, and coordination with internal subject matter experts. \nProofread, and format proposal content to ensure clarity, accuracy, consistency, and responsiveness prior to sending draft to Proposal Manager \nMaintain consistent Rycon branding and graphic standards across proposals, presentations, and other marketing materials in accordance with Rycon branded templates. \nAssist with maintaining proposal resources, boilerplate content, project information, resumes, graphics, and other pursuit-related materials. \nActively promote Rycon Construction, Inc. within the industry through networking and social media platforms.\nWhat you will need to be successful:\nB.S. in Marketing or related field degree preferred.\nAt least 3-5 years of proposal, marketing, communications, or related experience; experience within the construction, architecture, engineering, or professional services industry preferred. \nStrong proficiency in Adobe InDesign, with working knowledge of Adobe Illustrator and Photoshop. \nStrong proficiency in Microsoft Office, particularly PowerPoint, Word, Excel, and Outlook. \nExperience preparing graphics, infographics, presentation materials, and other visual communications is strongly preferred. \nExcellent organizational and time-management skills with the ability to manage multiple proposals, tasks, and deadlines simultaneously. \nDemonstrated ability to work effectively under pressure and consistently meet firm, sometimes aggressive, submission deadlines. \nStrong attention to detail, particularly when reviewing submission requirements, forms, signatures, dates, and other compliance-related information. \nStrong writing, proofreading, editing, and verbal communication skills. \nAbility to take initiative, follow up with contributors, identify missing information, and keep assignments moving without constant direction. \nComfortable working collaboratively with employees at all levels of the organization. \nBasic understanding of SharePoint and cloud-based file-sharing platforms. \nAt Rycon Construction, Inc. we believe outstanding employees build the foundation necessary for excellence in business.
