The position focuses on project operations, grant administration, documentation, reporting, and stakeholder coordination to support efficient and compliant project execution throughout the project lifecycle.\nKey Responsibilities\nGovernment-Funded Programs\nCoordinate and support government-funded R&D projects, including NEDO, MEXT, and other public funding programs\nCoordinate project reporting schedules, submission requirements, and administrative deliverables\nCoordinate preparation and submission of project-related documentation and supporting evidence\nMaintain project records and ensure audit readiness\nSupport project reviews, inspections, and compliance activities\nSupport funding claims and related documentation activities\nProject Operations\nCoordinate project schedules, reporting deadlines, deliverables, and follow-up actions\nDrive timely completion of reporting and administrative requirements across project teams\nConsolidate information from project schedules, meeting records, technical updates, and stakeholder inputs\nSupport monitoring of project reporting schedules and communicate administrative issues as appropriate\nSupport project activities throughout the lifecycle, from project setup through reporting and closeout\n Documentation & Technical Communication Support\nSupport preparation, review, and quality assurance of project proposals, technical reports, progress reports, presentation materials, and external communications\nOrganize and structure information provided by technical teams for project documentation and funding submissions\nSupport preparation and maintenance of bilingual (Japanese/English) project documentation where required\nMaintain document repositories, version control, and project records\nEnsure consistency, completeness, and overall quality of project documentation\nStakeholder Coordination\nFacilitate communication among technical teams, management, research partners, customers, subcontractors, and funding agencies\nSupport communication and reporting activities with headquarters and global stakeholders as required\nOrganize project meetings, workshops, reviews, governance activities, and management updates\nPrepare meeting materials, minutes, action-item logs, and follow-up documentation\nSupport coordination among technical, legal, finance, and administrative functions\nContract & Financial Administration Support\nSupport expenditure tracking and funding-related reporting activities in coordination with Finance and management\nAssist with collection and organization of supporting evidence, expense records, and project documentation\nSupport contract documentation, contract administration, and maintenance of related records\nCoordinate with Finance, Legal, Procurement, and external service providers as required\nSupport reimbursement, invoicing, and funding-related documentation processes\nProcess & Documentation Management\nSupport maintenance and continuous improvement of project documentation and operational processes\nMaintain documentation procedures, templates, and records management practices\nContribute to efficient and compliant execution of project activities across Japan operations\nRequired Qualifications\nBachelor's degree or equivalent experience\nExperience supporting government-funded R&D projects, technology development programs, or strategic projects\nStrong project coordination, documentation, and organizational skills\nExperience working with multiple stakeholders across organizations\nExcellent Japanese communication skills (business level or above)\nAbility to communicate effectively in English in a professional environment\nProficiency with Microsoft Office applications\nPreferred Qualifications\nExperience with NEDO, MEXT, or other Japanese public funding programs\nExperience in semiconductor, AI, quantum technology, deep-tech, or related industries\nExperience supporting project proposals, technical documentation, reporting, and compliance activities\nExperience preparing or reviewing bilingual (Japanese/English) project documentation\nExperience working with international and cross-functional teams\nFamiliarity with project governance, grant administration, contract documentation, and audit support activities\nBase Salary Range:\nBase Pay Range\n¥15,000,000—¥20,000,000 JPY\nSubmission Guidelines\n Please note that in order to be considered an applicant for any position at SambaNova Systems, you must submit an application form for each position for which you believe you are qualified. \nEEO Policy\n SambaNova Systems is an Equal Opportunity/Affirmative Action Employer.
