The successful candidate will join a team of professionals who work together to support the Ministry mandate. The ministry’s one-team approach means that the successful candidate will have experienced and supportive colleagues, as well as opportunities to learn and grow.\nIn support of the Forest Service Management Team, the successful candidate will:\nLead the administration of human resource processes, electronic and paper file management, scheduling and logistics of branch and Executive Director activities and budget and forecast monitoring;\nAct as a liaison between the Executive Leadership team, the Minister’s Office, as well as Ministry staff to disseminate information, clarify instructions and follow up on matters pertaining to referrals, inquiries, and meetings, while ensuring timelines are met;\nReview, prioritize, direct and coordinate requests and follow up as necessary, while ensuring confidentiality, consistency, and accuracy;\nWork with others within the Ministry and across the provincial and federal governments to coordinate activities, balance multiple priorities, and provide timely and accurate information; and\nProvide guidance to staff across the Ministry and create cross-team collaboration for organizational effectiveness.\n Manage the Senior Executive’s calendar through collaboration, prioritization, and scheduling.\nAssemble briefing and background materials for the Senior Executive in preparation for meetings.\nMonitor the Senior Executive’s email and redirect requests to appropriate team members.\nPlan, schedule, and coordinate travel and logistics for meetings, training sessions, and other events.\nIdentify and implement improvements to streamline administrative operations.\nTrain, mentor, and supervise an administrative team.\nDraft, edit, and proofread correspondence in accordance with visual identity standards.\nCoordinate and participate in meetings by preparing agendas, recording minutes, and tracking action items to ensure deadlines are met.\nManage all incoming and outgoing correspondence to ensure timely distribution.\nMaintain manual and electronic filing systems, including bring-forward and records-management processes.\nProcess invoices, including coding and tracking for approval and payment in compliance with policies.\nCompile expense data and prepare budget reports for review.\nOrder office supplies and arrange equipment repairs and furniture replacements.\n Job Capabilities:\nIn this leadership and supervisory role, we are seeking someone who:\nHolds themselves and others accountable for delivering on work expectations.\nDemonstrates innovation and supports their team to identify, iterate, and implement new solutions.\nBrings people together in a collaborative manner and builds relationships that deliver desired outcomes.\nIs inclusive, promotes, supports, and enables belonging, encourages diversity, and values all contributions.\nIs adaptable, anticipates the impact of change, models agility, and supports their team through ambiguity.\nIs outcomes-focused, enables their team to meet or exceed established goals, and balances longer term objectives with tactical execution. \nTechnical Knowledge and Skills:\nAn energetic team player whom tactfully and respectfully supports colleagues to promote a positive work environment;
