You'll own weekly sprint planning for our Design team, keep tickets moving by following up with stakeholders, and keep our project management workspace in Wrike accurate and up to date.\n\nThis is a great entry-level opportunity for someone looking to grow in project coordination. You'll work closely with designers, developers, and project managers, gaining hands-on experience with sprint planning and cross-functional collaboration. The ideal candidate is organized, dependable, and comfortable working independently in a remote environment.\n\nThis is a fully remote, part-time, standalone role at 20 hours per week, Monday to Friday, 9:00 AM to 1:00 PM Pacific. You'll report to Krystal Perez, Project Manager, and support our Design and Software Development teams as well as our Project Managers. Within your first 60 days, you'll run the weekly sprint review independently and manage stakeholder follow-ups with minimal oversight.\n\nWhat You'll Do\nDesign Sprint Planning & Prioritization (Core Focus)\n\nBuild and prioritize the Design team's weekly sprint using established guidelines.\n\nCheck in with each designer at the end of every week to confirm what's complete, what's carrying over, and why.\n\nLead a weekly call with brand project managers to review sprint priorities and discuss tickets planned for upcoming sprints.\n\nStakeholder Follow-Up & Blocker Management\n\nFollow up with ticket stakeholders when work is blocked by slow reviews, open questions, or missing information.\n\nSchedule touch-base calls at the start of a sprint for design tickets that need more detailed alignment beyond the brief.\n\nEscalate to your manager when a mission-critical item is still at risk, or when a ticket has had no movement for 3 to 4 days.\n\nProvide the same follow-up and escalation support for Software Development tickets.\n\nDaily Ticket Assignment\n\nAssign daily quick-turn tickets to the two designated designers, following a documented SOP.\n\nConfirm each ticket has the details a designer needs before it's assigned.\n\nProject Manager Support\nHelp project managers build out new key projects in Wrike, including tasks, timelines, assignees, and fields.\n\nWrike Maintenance & Data Quality\n\nKeep Wrike accurate and organized by updating statuses, cleaning up stale or duplicate items, and filling in missing fields.\n\nHelp build out the Wrike onboarding space currently in development, including organizing resources and how-to content.\n\nReview new requests for missing information and send them back to requesters before they reach the team.\n\nReporting & Data Cleanup\n\nClean up monthly ticket data used for team productivity and workload reporting, and follow up with stakeholders on any missing information.\n\nSpot-check dashboards and automated status updates to confirm they're pulling correctly.\n\nDraft routine internal updates, reminders, and announcements for review.\n\nWho You Are\n\nFollow-Through: Tracks open items to resolution and follows up independently.\n\nProactive Communication: Seeks clarification at the start of a task and flags blockers or deadline risks as soon as they arise.\n\nResponsiveness: Replies promptly to Slack messages and Wrike comments during working hours.\n\nAccuracy: Keeps due dates, assignees, statuses, and ticket details correct and current.\n\nProfessional Communication: Writes clear, polished, and concise messages to stakeholders at all levels.\n\nWhat You'll Need\n\nA bachelor's degree with at least one administrative, coordination, or project support internship, or 1 to 2 years of administrative experience.\n\nHands-on experience with a project management tool such as Wrike, Asana, Monday.com, Jira, ClickUp, or Trello.\n\nPolished, professional written communication, especially in Slack and project management tools.\n\nA proven habit of following up independently and meeting deadlines.\n\nComfort asking questions and raising blockers early.\n\nAvailability to work 9:00 AM to 1:00 PM Pacific, Monday to Friday.\n\nPreferred\n\nExperience with Wrike specifically.\n\nExperience supporting creative, design, marketing, or software development teams.\n\nFamiliarity with agile or sprint-based workflows.\n\nComfort with Google Workspace, Slack, and basic spreadsheet work like sorting, filtering, and cleaning data.\n\nWhat We Offer\n\nSalary: $25 per hour\n\nMedical, Dental, Vision, and Life Insurance\n\nFully remote, full-time position\n\nMonthly work-from-home stipend\n\nGenerous paid time off program\n\nDiscounted products\n\nAn amazing team to work alongside\n\nPlease click the link for our privacy notice:\n\nApplicant Privacy Policy Notice\n\nAbout Scale Media\nFor the past 12 years, Scale Media has been building and scaling science-backed wellness brands.
