operational and performance reports\nBuild and maintain KPI dashboards and leadership scorecards\nAnalyze operational data to identify trends, bottlenecks, and opportunities for improvement\nTrack missing information and follow up with appropriate team members\nHelp leadership turn data into actionable operational decisions\nPrepare materials, agendas, presentations, and follow-up items for leadership and company meetings\nProcesses, Systems & Projects\nDevelop, maintain, and improve SOPs, workflows, policies, templates, and internal resources\nHelp teams consistently adopt established processes and systems\nCoordinate system implementations, documentation, training, and ongoing support\nManage user access, permissions, account changes, and system records\nLead or coordinate company-wide operational projects from planning through implementation\nTrack project owners, deadlines, decisions, deliverables, and results\nIdentify inefficient processes and help develop practical solutions\nOnboarding, Training & People Operations\nPartner with HR and department leaders on recruiting coordination, onboarding, offboarding, training, and employee review processes\nCoordinate new-hire readiness, including system access, equipment, training assignments, schedules, and required documentation\nManage operational offboarding to ensure access, company property, records, and responsibilities are appropriately transitioned\nTrack employee reviews and required follow-up\nCoordinate learning and development assignments and completion\nMaintain tracking for licenses, certifications, insurance, and other required documentation\nFlag upcoming expirations or missing information before they become an issue\nCompany-Wide Operational Support\nCoordinate educational and professional development programs\nAssist with company travel logistics and related resources\nMaintain contract tracking, including key dates, renewals, owners, and required follow-up\nReview accounts payable submissions for appropriate documentation and approval routing\nCoordinate vendors, facilities, and other shared operational needs\nTake ownership of additional operational priorities as the organization continues to grow\nWhat We're Looking For\nBachelor's degree in business, healthcare administration, operations, or a related field\n3+ years of experience in human or animal healthcare\n3+ years of experience in business operations, operational management, project coordination, business intelligence/data management, or a related role\nHealthcare and operations experience may overlap\nStrong analytical skills and genuine interest in working with data\nExperience preparing reports, tracking KPIs, and building or maintaining dashboards\nStrong proficiency with spreadsheets, presentations, shared documents, project management tools, and communication platforms\nExcellent organization, written communication, and follow-through\nAbility to coordinate projects and priorities across multiple departments\nComfortable working in a growing environment where priorities can evolve\nTechnology & AI\nWe're looking for someone who is comfortable using technology to make work more efficient.\nExperience using AI tools to improve workflows, develop simple scripts or automations, analyze information, or streamline operational processes is important for this role.\nPreferred Experience\n5+ years of relevant operations experience\nVeterinary or animal healthcare experience\nExperience supporting a multi-location healthcare or specialty organization\nExperience working closely with senior leadership\nExperience coordinating cross-functional projects and process improvements\nCompensation & Benefits\nSalary: $70,000-$85,000 annually +
